Reviewing related records: payments, refunds and inventory movements

Find and navigate the payments, returns, and inventory receipts linked to a bill.

When you open a bill, it usually has related records — payments you've made against it, refunds or returns you've issued, and inventory receives (if it's a purchase of items). These appear on separate tabs or sections so you can verify the bill's full lifecycle.

Before you start

  • Open the bill detail page you want to review.
  • You need view permission for payments, refunds, and inventory receipts (ask your admin if any are hidden).

Finding related records

On the bill detail page, look for tabs or sections labeled:

  • Payments — all payments received or made against this bill
  • Refunds or Returns — credit memos or bill refunds issued
  • Receives or Inventory Movements — goods receipt records (if this is a purchase with items)

Each tab shows a list or table of linked records. Click any record to open its details.

Understanding the payment tab

The Payments tab shows:

  • Payment date and method (bank transfer, cash, check, etc.)
  • Amount paid
  • Payment reference number
  • Status (if partial, overdue, etc.)

Use this to:

  • Verify how much has been paid vs. the bill amount
  • Find overpayments or missing payments
  • Trace the payment to a bank statement or payment batch

Understanding the refunds/returns tab

The Refunds or Returns tab (if present) shows:

  • Refund date
  • Amount refunded (usually a partial refund of the bill)
  • Refund reason (damaged goods, quantity adjustment, etc.)
  • Status

Use this to:

  • Understand why the bill amount was reduced
  • Link the refund back to returned goods
  • Check if a refund was received back from the vendor

Understanding the receives/inventory tab

The Receives or Inventory Movements tab (only for purchase bills with items) shows:

  • Goods receipt date
  • Items received and quantity
  • Warehouse/location where goods were stored
  • Status (received, pending, returned, etc.)

Use this to:

  • Verify the goods have been physically received into your warehouse
  • Cross-check bill quantities against actual receipt quantities
  • Trace items forward to their next movement (sale, use, return)

Steps to review related records

  1. Open the bill you want to review. Open in Usystems

  2. Scroll down or look for tabs at the bottom or side of the bill detail page.

  3. Click the Payments tab to see all payments made against this bill.

  4. Click the Refunds tab (if present) to see any returns or credits issued.

  5. Click the Receives tab (if present) to see inventory receipts linked to this purchase.

  6. Click any record in the table to open its full details and verify its accuracy.

Tips & common mistakes

  • Partial payments: If you see multiple payment records, the bill may be partially paid. Add up the amounts to find the outstanding balance.
  • Unapplied payments: A payment may appear here even if it hasn't been applied to the bill yet. Check the payment status.
  • Refund timing: A refund may be issued before or after payment. Always check both the Refunds and Payments tabs together.
  • Inventory mismatches: If the Receives tab shows different quantities than the bill, contact your warehouse or the vendor to clarify.
