Creating a customer

Add a new customer to your system with contact details and payment preferences.

Creating a customer record is the first step to issuing invoices and managing customer relationships. You'll enter the customer's name, contact details, billing address, and payment preferences so Usystems can track all their transactions.

Before you start

  • You have Contacts permission (usually assigned to sales or billing staff)
  • Decide whether this is a named customer or a walk-in (one-time customer)
  • Have the customer's business name, email, and phone number handy (optional, but recommended)

Steps

  1. Go to Contacts → Customers
    Open in Usystems

  2. Click New Customer or the + button in the top-right corner

  3. Enter the customer's Name (required)
    This appears on invoices, receipts, and reports

  4. Enter Email and Phone (optional)
    These are used for communication and receipts

  5. In the Billing Address section, add the full address where invoices are sent

  6. If this customer uses a default currency other than your company's base currency, select it under Currency

  7. Leave Type set to Customer (unless this is a walk-in; see the concept guide below)

  8. Click Save

Your customer is now created and ready to receive invoices.

Tips & common mistakes

  • Name is all you need: Email and address can be added later. Don't let optional fields slow you down.
  • Edit anytime: Customer details are never locked. You can change name, address, or contact info after creation.
  • Inactive vs. deleted: You never delete a customer. If they stop ordering, you can mark them as Inactive later to hide them from lists.
  • One customer, many invoices: Usystems automatically links all future invoices to this customer. Changing their details later updates reports retroactively.
