Owner's equity and drawings
Understand the difference between owner's investment and personal withdrawals from the business.
What is owner's equity?
Owner's equity is the amount of money the business owner has invested in the business, minus any personal withdrawals. It appears on the balance sheet and represents the owner's net stake in the business. In Usystems, owner's equity is tracked through accounts in the equity section of your chart of accounts.
Why it matters
Your equity shows the true value of your ownership stake in the business. When you invest money into the business, your equity increases. When you withdraw cash for personal use, your equity decreases. Tracking both accurately ensures your financial statements show the true financial position of your business and helps with tax reporting and loan applications.
How it works in Usystems
In Usystems, you track owner's equity in two main ways:
Owner's investment (capital): When you put money into the business — whether at startup or later — you record it as an increase in the equity account. This is usually labeled "Capital" or "Owner's Capital" in your chart of accounts.
Owner's drawings: When you withdraw money from the business for personal use, you record it in a drawings account. Each period, drawings reduce your equity. At year-end, the drawings account is closed and moved against the capital account, lowering your net equity.
To record an owner's investment or withdrawal:
- Go to Accounting → Journal Open in Usystems
- Click New Journal Entry
- Enter the date and reference number
- On one line, select your cash or bank account; enter the amount
- On the next line, select either your Capital account (if investing) or Drawings account (if withdrawing)
- Click Save
The system will automatically balance the entry and post it to your chart of accounts.
Where you see it
- Balance Sheet: Look at the Equity section; your capital less drawings shows your net equity position. Run the report at Accounting → Reports → Balance Sheet Open in Usystems.
- Chart of Accounts: View all equity accounts at Accounting → Chart of Accounts Open in Usystems, filtered to the Equity section.
- Account Statement: View the running balance in a specific equity account at Accounting → Chart of Accounts, select the account, then View Statement.
