Exporting and printing the Journal report

Save the complete journal to a file or print it for audit trails and record-keeping.

After you run the Journal report, you can download it as a file (PDF or Excel) or print it directly. This is useful for creating audit trails, sharing with auditors, or maintaining permanent records.

Before you start

  • The report must be generated and displayed on screen before you can export or print it.
  • Check that your browser allows downloads.
  • If printing, verify that your printer is connected and ready.

Steps to export or download

  1. Once your Journal report results appear, look for an Export or Download button (usually near the top or bottom of the results).

  2. Choose your preferred format:

    • PDF: creates a formatted, print-ready document.
    • Excel or CSV: creates a spreadsheet file that you can edit, sort, and analyze further.
  3. Click the format button. Your browser will download the file.

  4. Save the file to your preferred location on your computer.

Steps to print

  1. After the report displays, locate the Print button (usually a printer icon).

  2. Click Print. Your browser's print dialog will open.

  3. Select your printer from the list.

  4. (Optional) adjust print settings:

    • Paper size: typically Letter or A4.
    • Orientation: Landscape often works better for the Journal report because it has many columns.
    • Margins: reduce if you want to fit more data per page.
  5. Click Print to send to your printer.

Tips & common mistakes

  • File naming: exported files usually include the report name and date, making them easy to organize.
  • Excel analysis: after exporting to Excel, you can add subtotals, create pivot tables, or highlight entries matching specific criteria.
  • Print preview: use your browser's Print Preview before printing to check page layout and count.
  • Large reports: a report with thousands of entries may take a moment to export; be patient and do not close the page.
  • PDF for audits: PDFs are best for sharing with auditors and regulators because they cannot be easily modified.
  • Column fit: if printing to paper, consider Landscape orientation to ensure all columns (Account, Debit, Credit, Description) fit on the page.
