Running the Journal report

Generate a complete list of all journal entries (debits and credits) for your selected date range.

The Journal report displays every debit and credit entry that occurred in your accounting system during a selected period. It shows the complete audit trail of all transactions, helping you verify account balances and trace individual entries.

Before you start

  • You need permission to view reports (usually granted to accounting staff and managers).
  • Choose your date range: the report shows only journal entries recorded on or after the start date and on or before the end date.
  • Optional: decide whether you want to filter by account, journal type, or other criteria to narrow the results.

Steps

  1. In the left menu, navigate to Reports. Open in Usystems

  2. Select Expense & Ledger Reports from the category list on the left.

  3. Click Journal Report.

  4. Set your date range:

    • Click the From field and select the start date.
    • Click the To field and select the end date.
  5. (Optional) Apply filters:

    • Account: choose specific accounts to review.
    • Journal Type: filter by type (e.g., Sales, Purchases, General).
    • Reference: search by document number or reference code if available.
  6. Click Run Report or Generate.

  7. Review the results in the table. Each row represents one journal entry showing the account, debit amount, credit amount, and supporting details.

Tips & common mistakes

  • The date range is inclusive: January 1 to January 31 includes both dates.
  • Journal entries are the foundation of accounting; every transaction creates one or more entries here.
  • If you expect to see an entry and it is missing, check that the transaction was actually recorded and the date falls within your selected range.
  • The Journal report shows more detail than Summary or Balance reports; use it for line-by-line verification.
  • Leave filter fields blank to include all accounts or journal types.
