Creating a group product and its components

Set up a kit or bundle by defining the product and adding component lines.

What This Does

Creating a group product (kit or bundle) lets you build multi-component products once and reuse them across all your sales and purchase documents. The system will automatically handle component quantities and inventory tracking.

Before You Start

  • Permissions: You need permission to create and edit products. Check Users & Roles → Groups Open in Usystems to confirm your access.
  • Component products: All components must already exist as individual products in your system. Create them first if needed.
  • Inventory location: Only products marked as Inventory can be used as components. Service products cannot be part of a kit or bundle.
  • Data needed: Have the component product codes and the quantities of each component in your group.

Steps

  1. Go to Products & Services Open in Usystems.

  2. Click New Product (or the "+" icon).

  3. Fill in the product details:

    • Name: The name customers and staff will see (e.g., "Starter Pharmacy Kit").
    • Code: A unique identifier (e.g., KIT-STARTER).
    • Type: Choose Product Group.
    • Product Category: Select the category that best fits (e.g., Pharmacy, Equipment).
  4. Under Group Type, choose:

    • Kit — if components should expand into separate lines on documents
    • Bundle — if components should remain hidden as one line
  5. In the Components section, add each part:

    • Click Add Component (or "+").
    • Search and select the component product.
    • Enter the Quantity needed (e.g., 3 bottles, 2 boxes).
    • Repeat for each component.
  6. Set the Selling Price (the final price customers pay). The system calculates cost from component costs automatically.

  7. Save the product.

Accounting Impact

  • On kit documents: Each component posts to its own account based on its inventory category (e.g., Pharmacy Supplies, Equipment).
  • On bundle documents: The same component accounting applies, but the customer document shows only the bundle line.
  • Inventory: Both kits and bundles reduce component stock when sold; group-product inventory itself does not exist.

Tips & Common Mistakes

  • Don't forget components: An empty kit or bundle will cause errors when added to documents. Always define at least one component.
  • Update quantities carefully: If you change a component quantity after using the group in documents, only new documents reflect the change. Existing documents keep their original composition.
  • Mix inventories strategically: You can combine products from different categories (e.g., a pharmaceutical kit might include a syringe, a vial, and a bandage). Plan your accounts accordingly.
  • Kits for internal tracking, bundles for simple sales: Use kits when you need customers to see component details; use bundles for cleaner, simpler invoices.
