Creating a service

Add a new service to your catalog for use on sales orders, invoices, and other documents.

What this does

Creating a service adds a new item to your service catalog. Services are billable offerings you provide to customers—labor, delivery, consulting, installation, or any other non-inventory work. Once created, you can use the service on sales orders, invoices, and other sales documents.

Before you start

  • You need permission to create services. Ask your system administrator if you don't have access.
  • You should know the service name, description, and the default price you want to charge.
  • If the service should link to a general ledger account for cost or revenue tracking, have that account ready (optional—Usystems can assign a default based on your service type).

Steps

  1. Go to Products & Services → Services and look for a "New Service" or "Create" button. Open in Usystems

  2. Enter the service name (e.g., "Installation", "Delivery", "Consultation").

  3. (Optional) Add a description to help team members identify the service.

  4. Set the default sale price—the amount you charge customers for this service.

  5. If you want to assign a specific GL account (for revenue or expense tracking), select it from the chart of accounts dropdown. If left blank, Usystems uses your default service account.

  6. Choose the service category or type if your system has predefined categories (e.g., labor, logistics, consulting).

  7. Click Save or Create to add the service to your catalog.

Accounting impact

When you use this service on a sales order or invoice, the revenue is recorded in the GL account you selected (or your default service-income account). If the service is marked as an expense service, the cost flows to the designated expense account instead.

Tips & common mistakes

  • Service name should be customer-facing — use names your clients recognize on printed invoices and receipts.
  • Avoid creating duplicate services — reuse the same service on multiple documents rather than making slight variations (e.g., "Delivery" instead of "Delivery Jan" and "Delivery Feb").
  • Price can be overridden per document — setting a default price here doesn't lock you in; you can change it on each order or invoice if needed.
  • Services do not track inventory — if you need quantity on hand and expiry dates, use products instead.
