Holding structure: one company, several product lines

What is a holding structure?

A holding structure allows you to run multiple product lines (such as a pharmacy, clinic, or warehouse) under a single parent company. In Usystems, one company is called a constellation, and each product line is called a ref_product. Think of it as a holding company that owns several different businesses—they share accounting, contacts, and settings, but operate with separate inventories, sales orders, and operational workflows.

Why use a holding structure?

Holding structures are useful when you:

• Operate multiple branches or departments within the same legal entity (e.g., a pharmacist who runs both a retail pharmacy and a clinic).
• Need consolidated financial reports across all operations.
• Share customers, suppliers, and accounting rules across multiple divisions.
• Want to keep daily operations (inventory, sales) separate while maintaining a unified company structure.

How it works in Usystems

When you log in, you see one product line at a time. The system displays the data for that line only (invoices, stock, reports). You can switch to another product line whenever you need to—the same login works for all product lines under your company.

All product lines under one holding share:

• Customers and suppliers (contacts): you can invoice the same customer from any product line.
• Chart of accounts: a unified general ledger across all product lines.
• Currency and exchange rates: apply system-wide.
• Users and permissions: the same staff member may have access to multiple product lines.

Each product line keeps separate:

• Inventory and stock: products in the pharmacy are not mixed with products in the warehouse.
• Sales and purchase documents: invoices and bills are tied to the product line they belong to.
• Reports and business analytics: scoped to each line, unless you run a consolidated report.

Example

Imagine a family business: Hasrat Group. They own:

• Hasrat Pharmacy: a retail pharmacy selling medicines.
• Hasrat Clinic: an outpatient medical facility.
• Hasrat Warehouse: a central goods distribution hub.

All three operate under one company (constellation). The pharmacy manager logs in and sees only pharmacy inventory and sales. The clinic manager logs in and sees only clinic patient visits and charges. The warehouse manager sees goods movements. But when the owner requests a consolidated profit-and-loss report for the whole group, Usystems pulls data from all three lines.

Checking your holding structure

To see which product lines are available to you, look for the product switcher in the top navigation menu. Click it to see all product lines your company owns that you have permission to access. Your login credentials work for all of them—just switch and your view updates instantly.
