Create and manage insurance provider records in Usystems so you can process claims and verify coverage.

Adding Insurance Companies

Insurance companies are the providers (insurers) who cover patient medical expenses. You must add them to Usystems before you can create coverage plans or process claims.

Before you start

  • You have Admin permission or a custom role with access to Insurance settings
  • Gather the insurance company's name, contact details, and claim submission method (if applicable)
  • Know which services this insurer will cover (you will link them to a coverage plan in a later step)

Steps

  1. Go to Settings → Insurance (or the Insurance setup menu in your facility).
    Open in Usystems

  2. Select the Companies or Insurance Providers tab.

  3. Click Add Insurance Company or the + button to create a new record.

  4. Fill in the company details:

    • Company Name: The official name of the insurance provider (e.g., "Blue Health Insurance" or "National Insurance Fund").
    • Company Code (if required): A unique identifier for internal reference.
    • Contact Person: Primary contact name.
    • Email: General contact email for the insurer.
    • Phone: Main phone number.
    • Address: Physical or mailing address.
  5. If your facility submits claims electronically, enter:

    • Claims Submission Email or Portal URL (if available)
    • Submitter ID or Facility Code assigned by the insurer
  6. Click Save or Create.

The insurance company is now registered. You can now add coverage plans and services under this company.

Accounting impact

Adding an insurance company is a setup task and does not immediately affect financial records. Claims and patient billing are processed when services are delivered and claimed against a coverage plan.

Tips & common mistakes

  • One company record per insurer: Create separate records for each insurance provider, even if they have regional offices (e.g., "ABC Insurance - Kabul" and "ABC Insurance - Kandahar" as needed).
  • Verify contact details before saving: Incorrect email or portal URLs may delay claim submissions.
  • You can edit companies later: If information changes (e.g., contact email or address), return to the company record and update it without affecting existing plans or claims.
  • Link to patients after setup: Once the company is added, patients can select this insurer when creating their profile or updating their insurance details.
