FAQ: Inventory Availability Report

Why does my report show zero quantities for items I know we have?

Check the date filter. If you selected a past date, the report shows stock as of that point in time. Also verify the warehouse filter—if you filtered by a specific warehouse and the item is stored elsewhere, it won't appear. Leave filters blank to see all stock across all locations and today.

Can I see historical inventory levels?

Yes. Use the Date filter to view stock as of any past date. Note that historical data is only available if your system has been tracking inventory for that period. Recent changes (today's transactions) are always shown.

How often is the data updated?

The Inventory Availability report always shows real-time data. Every time you receive, use, or adjust inventory, the report reflects the change immediately on next run.

Why are expired items still showing in the report?

By default, the report includes all items regardless of expiry status. To focus on non-expired stock, apply the Expiry filter to show only items past their expiration date, then exclude those rows from your planning. Or use the Show zero quantities filter to hide items you've already removed.

Can I schedule this report to run automatically?

This depends on your system's configuration. Contact your administrator to set up automatic report scheduling if this feature is available.

What if I need to see stock across multiple warehouses side by side?

The report shows each warehouse in separate rows for the same item. To compare, you can:

• Leave the Warehouse filter blank to see all locations.
• Export the report to Excel and create a pivot table to organize by warehouse.
• Filter by item name to see all locations where that item is stored.

How do I know when to reorder?

Look for items in the Reorder level column. If the quantity on hand is below the threshold your business has set, it's time to reorder. You can also apply the Reorder level filter to highlight only these items.
