Reading and interpreting the Inventory Availability report

Understand each column and what the data means for stock management.

The Inventory Availability report is designed to give you a snapshot of your current stock. Understanding each column and how to read the data helps you make fast decisions about reorders and stock movements.

How the report is organized

The report displays one row per item per warehouse location. Each row shows:

  • Item Name — the name of the product or medicine.
  • Item Code — the internal identifier or SKU.
  • Warehouse — the location where the stock is held.
  • Quantity on Hand — the current count of usable units.
  • Unit — the measurement unit (box, tablet, bottle, etc.).
  • Last Received Date — when the item was last added to this warehouse.
  • Expiry/Reorder Status — flags items that are near expiration or below reorder level (if configured).

How it works in Usystems

Every time you receive, use, or move inventory, Usystems updates the quantity on hand. The Inventory Availability report reads these current balances and displays them. It is not a historical view—it always shows today's real-time count.

If you have multiple warehouses, each location's stock is shown separately. This lets you see where stock is concentrated and plan transfers between locations.

Where you see it

  • In the Reports section under Inventory.
  • You can run it on demand, export it, or (if configured) schedule it to run automatically.
  • The data also feeds into low-stock alerts and reorder recommendations if your system is set up to use them.

Key insights to look for

  • Items with zero or near-zero quantities — flag these for immediate reorder.
  • Items with multiple warehouse rows — consider consolidating or moving stock where demand is highest.
  • Last Received Date — older dates may indicate stale stock or slow-moving items.
