Exporting and printing the Inventory Movement report

After running the Inventory Movement report, you can export it as a PDF or Excel file for presentations, record-keeping, or deeper analysis with spreadsheet tools.

Before you start

  • The Inventory Movement report must already be generated and visible on screen.
  • Decide whether you need PDF (for printing and sharing as a formatted document) or Excel (for further analysis, sorting, and calculations).

Steps

  1. After running the Inventory Movement report, look for an Export button or menu near the top of the report.

  2. Choose your export format:

    • PDF: Best for management presentations, board reports, and compliance archives. Formatting is locked and cannot be accidentally modified.
    • Excel: Best for detailed analysis, forecasting, and combining with other business data.

  3. Click the chosen format. The file will download to your computer.

  4. (Optional) Open the file to verify all data was captured and is correctly formatted.

  5. To print the report:

    • If you exported to PDF, open the file and use your PDF reader's print function.
    • If you exported to Excel, open it, check the layout, and use File → Print to print with your preferred settings.

Tips & common mistakes

  • Use Excel for forecasting: If you plan to forecast demand or reorder points based on movement history, export to Excel. You can add formulas, project forward, and create pivot tables.
  • Use PDF for sharing with management: Non-technical stakeholders may accidentally modify data in Excel. PDF locks the format and is safer for distribution.
  • Name your file strategically: After download, rename the file with the date range (e.g., Inventory_Movement_Q2_2026.pdf or Fast_Movers_Jan2026.xlsx) to keep your archive organized.
  • Combine multiple periods in Excel: Export the same report for consecutive months, then paste all results into one Excel workbook to build a trend table or chart.
  • Check file size: Large exports (thousands of items) may take a moment to download. Be patient and ensure your browser doesn't time out.
