Exporting and Printing the Inventory Reconciliation Report

Once you have run the Inventory Reconciliation report, you can export it as a file for record-keeping or print it for review by your team.

Before you start

  • You have generated the Inventory Reconciliation report with your desired filters
  • Your browser allows PDF or file downloads

Exporting to file

  1. On the Inventory Reconciliation report page, look for the Export or Download button (usually in the top toolbar).

  2. Choose your preferred format:

    • PDF – Professional format, suitable for distribution and archival
    • CSV – Spreadsheet format (Excel-compatible), ideal for further analysis or pivot tables
    • Excel – Formatted worksheet with calculations (if available)
  3. Click the format button. Your browser downloads the file to your default downloads folder.

  4. Open the file in your preferred application (PDF reader, spreadsheet software, etc.).

Printing the report

  1. On the Inventory Reconciliation report page, click Print (or use your browser's Print function: Ctrl+P or Cmd+P).

  2. A print preview appears. Review the page layout—check that all columns fit on the page width.

  3. If the report is long and spans multiple pages, ensure your printer settings include all pages.

  4. Select your printer and click Print.

Tips & common mistakes

  • Export before making adjustments. Keep a copy of the original reconciliation report for your records before you post adjustments, so you have documentation of the discrepancies found.
  • Use CSV for bulk adjustments. If you need to create many adjustment records, export to CSV and check whether your system supports bulk import of adjustments from a spreadsheet.
  • Print for sign-off. If your procedure requires a manager or auditor to sign off on variances, print the report and route it for approval before posting adjustments.
  • Check date and filters on the printout. Include the reconciliation date and warehouse filter in your print—this ensures anyone reading it knows the scope.
