Exporting and printing the Stock Ledger report

Once you've generated a Stock Ledger report, you can export it as a PDF or Excel file for offline review, printing, or sharing with your accounting and warehouse teams.
Before you start
- The Stock Ledger report must already be generated and visible on screen.
- You need to decide whether PDF (for printing and reading) or Excel (for further analysis) suits your need.
Steps

After running the Stock Ledger report, look for an Export button or menu near the top of the report.

Choose your export format:
- PDF: Best for printing and archiving. Preserves formatting and is suitable for sharing with auditors.
- Excel: Best for further analysis, filtering, or combining with other data in spreadsheets.

Click the chosen format. A file will download to your computer.

(Optional) Open the file and review it to ensure all data was captured correctly.

To print the report:
- If you exported to PDF, open the file and use your PDF reader's print function.
- If you exported to Excel, open it, review the formatting, and use File → Print from Excel.
Tips & common mistakes
- Use PDF for compliance: If you need to submit the report to an auditor or regulator, PDF is safer because the formatting cannot be accidentally changed.
- Use Excel for large datasets: If the report is hundreds of rows, Excel lets you sort, filter, and pivot the data without re-running the report.
- Check the file size: Very large exports (millions of transactions) may take a moment to download. Be patient.
- Name your export: After downloading, rename the file with the date and item name (e.g.,
Paracetamol_Stock_Ledger_2026-07-03.pdf) to avoid confusion later.
