FAQ: Printing Invoices

Can I print multiple invoices at once?

No, Usystems prints one invoice per action. To print multiple invoices, open each one individually and follow the print steps. However, you can use your browser's print-to-PDF feature to batch-save several invoices as a single PDF file if you first open them in separate browser tabs.

What file format does the PDF use?

Usystems exports invoices as standard PDF files (Adobe Portable Document Format). These can be opened on any computer, smartphone, or tablet using a free PDF reader like Adobe Reader or your browser's built-in PDF viewer.

Can I email the invoice directly from Usystems?

Currently, Usystems does not have a built-in email feature to send invoices directly. You can print to PDF and then attach the PDF file to an email message using your email client (Gmail, Outlook, Apple Mail, etc.).

What happens if my printer is offline?

If your printer is offline, the print dialog will show an error or no available printers. Check that your printer is powered on, connected to your network or computer, and that printer drivers are installed. Try again once your printer is ready.

Can I customize the invoice template?

Yes. Go to Settings → Print Templates to edit the default invoice layout, add your company logo, set custom footer text, and choose which fields to display. See Choosing and customizing the invoice print template for detailed steps.

Does printing an invoice change its status?

No. Printing an invoice does not change its status or create a new record. The invoice remains in whatever status it had before (Draft, Sent, Paid, etc.). Printing is purely a display action.

What if the invoice layout looks cut off or wrong?

This often happens if your paper size is set incorrectly in your printer settings. Before printing, check that your printer is configured for A4 paper (or the correct size for your region). You can also adjust margins in the print dialog. If the problem persists, try a different browser or print driver, or contact your IT support.

Can I print invoices with company letterhead?

Yes. You can customize your invoice template to include your company logo and custom text (such as your company address and contact info).
