What happens if I request leave but don't have enough balance?

The system prevents you from requesting more days than your available balance. If you try to submit a request that exceeds your balance, you will receive an error message. Contact your HR department or manager to discuss options (e.g., unpaid leave, carryover, or adjustment of your balance).

Can I cancel a leave request after it's been approved?

Yes. Go to HR → Leave Requests, find your approved leave, and click Cancel or Withdraw. This releases the leave days back to your balance. However, check your organization's policy on cancellation notice periods — some require advance notice.

What's the difference between paid and unpaid leave?

Paid leave (e.g., annual leave, sick leave) means you receive your normal salary during those days, even though you're not working. Unpaid leave means you receive no salary for those days. The leave type determines whether it's paid or unpaid; this is set up by your HR administrator.

If a public holiday falls during my approved leave, do I lose a leave day?

This depends on your organization's policy, configured by your HR administrator. Some policies:

  • Holiday counts as leave: You use a leave day even though it's a holiday.
  • Holiday is separate: The public holiday is unpaid/separate, and only the working days consume your leave balance.
  • Holiday is paid: The holiday is paid separately, and your leave balance covers only the actual working days.

Check with HR if you're unsure.

How do I check my remaining leave balance?

Go to HR → Leave Balance or HR → My Leave. You will see your current balance for each leave type, the number of days you've used, and how many remain. Some systems also show accrual rates and carryover details.

What if my manager rejects my leave request?

A rejected request does not consume any leave days — your balance remains unchanged. Your manager may include a reason or comment with the rejection. You can submit a new request for different dates or discuss with your manager if there are extenuating circumstances.

Can I submit a leave request for someone else?

Typically, employees can only submit leave requests for themselves. If you need to request leave on behalf of another employee (e.g., as an HR admin), check whether your role has delegation permissions. Some organizations allow managers to submit leave on behalf of their team members.

Can I request leave retroactively (for dates that have already passed)?

This depends on your organization's policy. Some allow HR administrators to record past absences retroactively; others do not. If you need to report an absence for past dates, contact your HR department.
