Managing User Roles and Permissions

A walkthrough of how administrators create roles, assign granular permissions, and manage users from Settings > Users & Roles.

Every person who touches USystems Atlas should have exactly the access they need, no more and no less. Roles are how you enforce that, bundling a set of permissions under a single reusable label like Front Desk, Billing Clerk, or Physician.

  1. Open Settings > Users & Roles and select the Roles tab.
  2. Click Create Role, give it a clear name, and choose the modules it can touch, such as Patient Records, Billing, or Reports.
  3. For each module, set the permission level: View Only, Edit, or Full Control, and toggle any sensitive actions like exporting data or deleting records separately.
  4. Save the role, then switch to the Users tab to assign it. Click Invite User to add someone new by email, or select an existing user and change their assigned role.
  5. To remove access entirely, open a user's profile and choose Deactivate rather than deleting their account, which preserves their audit history.

Review roles periodically, especially after staff changes, to make sure permissions still match each person's actual responsibilities.
