Connecting the pharmacy to the prescription system

This guide walks you through connecting your pharmacy system to the prescription system, allowing pharmacists to view prescribed medicines and verify inventory in real time.

Before you start

You need:

• Admin access to pharmacy settings
• At least one prescription system (e.g., OPD, medical records) running in your constellation
• Access to the settings area for both pharmacy and prescription systems
• A pharmacy ref_product (product line) in your constellation

Understanding the integration

The pharmacy–prescription connection allows:

1. Prescribed medicine source — Pharmacists see medicines prescribed in the medical system when filling prescriptions
2. Inventory checks — Real-time verification that prescribed medicines are in stock
3. Price visibility (optional) — Show customer-facing prices when viewing prescriptions
4. Product filtering (optional) — Limit which product classes appear in prescription suggestions

The integration works across your constellation: any pharmacy can connect to any prescribing system (OPD, emergency ward, medical cases, etc.).

Steps

Step 1: Go to pharmacy prescription settings

Navigate to Settings → Prescriptions in your pharmacy product.

Open in Usystems

You should see a Prescription Pharmacy Setup panel on the left side.

Step 2: Enable the pharmacy as a medicine source

In the Pharmacy as a medicine source section:

• Toggle Use pharmacy to provide medicines for prescriptions to on
• Choose Source mode:
  • Pharmacy only — Pharmacists see only medicines that exist in your pharmacy inventory
  • Combined (default) — Pharmacists see both pharmacy medicines and generic prescription suggestions

Step 3: Select which pharmacy product provides medicines

From the dropdown, select the pharmacy ref_product that holds your medicine inventory. This is usually your main pharmacy, but you may have multiple pharmacies in your constellation.

The panel will show:

• Total medicines in that pharmacy
• Number of medicines with medical codes (med_codes)
• Number of distinct product classes available

Step 4: Enable inventory checks (optional)

If you want to verify that prescribed medicines are in stock:

• Toggle Check pharmacy inventory availability for prescriptions to on
• Select the pharmacy ref_product to check inventory against

This is usually the same pharmacy you selected in Step 3. If you leave it empty, no inventory checks will run.

Step 5: Save your changes

Click Save to apply the settings. The system will confirm the changes and refresh the settings panel.

Allowing the pharmacy to share with prescriptions

After setting up the pharmacy as a source, the pharmacy product itself must confirm it agrees to share medicines.

Go to Settings → Prescriptions in the pharmacy product (not the prescribing system).

In the Allow pharmacy to share for prescriptions section:

• Toggle Allow this pharmacy to share medicines to on
• Optionally choose Product classes to share (e.g., "tablet", "liquid", "injection") or leave blank to share all classes
• Optionally toggle Show medicine prices to on so prescribers see your prices

Click Save.

Checking what prescribers see

After both setups are saved, go to the prescribing system (OPD, medical records, etc.) and create or edit a prescription.

When you add a medicine line and start typing:

• If pharmacy only mode: The dropdown will show only medicines from your pharmacy inventory
• If combined mode: The dropdown will show pharmacy medicines first, followed by generic suggestions
• If inventory checks are on: A note will show whether each medicine is in stock

Accounting impact

The integration has no immediate accounting effect. Invoices and expenses are recorded only when medicines are actually dispensed or sold through the pharmacy sales/invoice process, not when they appear in a prescription.

Tips & common mistakes

• Pharmacy not appearing in the dropdown? Make sure you have selected a pharmacy product with at least one medicine created. Empty pharmacies will not appear.
• Inventory checks slow down prescriptions? Inventory checks query your pharmacy's real-time stock; if your inventory has thousands of medicines, this may add a few hundred milliseconds. If performance suffers, consider creating a smaller pharmacy ref_product for prescriptions.
• Prices still hidden after toggling? Clear your browser cache (Ctrl+Shift+Delete or Cmd+Shift+Delete) and reload the prescription page.
• Want to stop sharing? Toggle the pharmacy confirmation switch to off. Prescribers will no longer see your medicines; they will fall back to generic suggestions.
• Multiple pharmacies? Each pharmacy in your constellation can independently decide to share. Set up a different source and inventory pharmacy for each prescribing system if needed.
