Updating sales prices from purchase documents

Sync product sales prices with costs when your purchase prices change.

What this does

When you receive a purchase at a new cost, Usystems can automatically update the product's sales price based on a markup percentage you choose. This keeps your prices aligned with your actual costs without manual adjustment.

Before you start

  • You must have permission to edit products and manage pricing
  • The product must already exist in your system
  • You need to have set a markup percentage or fixed markup amount in the product settings beforehand, or you can enter one when applying the price update
  • The cost must have been entered in a Cash Purchase or Purchase Order and the goods must have been received

Steps

1. Navigate to the purchase document Go to Cash Purchases or Purchase Orders (depending on which type you used) and find the document that contains the new cost. Open in Usystems

2. Confirm the receipt (if not already done) If you have not yet confirmed that the goods arrived, do so now. The product's last cost updates only after receipt confirmation.

3. Review the line item Locate the product line with the updated cost. Note the new cost price shown in the document.

4. Apply the price update On the document, look for an option to "Update sales prices" or similar (this may be a button on the line item or a bulk action). Select the product(s) you want to update.

5. Set the markup Enter the markup percentage or amount you want to apply. For example:

  • A markup of 50% means if the cost is 100, the new sales price will be 150
  • A fixed markup of 20 means if the cost is 100, the new sales price will be 120

6. Confirm the update Review the calculated new sales price and confirm. The product's sales price is now updated.

7. Verify Go to Products & Services and find the product to confirm the new sales price is now in effect. Open in Usystems

Accounting impact

  • Last cost is updated when the purchase is received (this is automatic, no action needed)
  • Sales price is updated only when you explicitly choose to sync it; this affects all future sales of that product
  • Past documents (invoices already created) are not affected; the price update only applies to new sales

Tips & common mistakes

  • Set a standard markup before receiving: If you always mark up products by the same percentage, configure this in the product defaults to save time
  • Don't update every price with every purchase: Minor cost fluctuations may not warrant a price change; reserve updates for significant cost changes
  • Check for minimum/maximum price constraints: Some businesses maintain a minimum price floor; make sure the calculated price doesn't violate your pricing policy
  • Bulk updates are possible: If multiple products are on the same purchase, you can often update several prices at once
