FAQ: Common Queue Problems

What is a queue token?

A queue token (نوبت or صف) is a numbered receipt issued to a patient when they arrive at or book an appointment at your facility. It tells the patient when and where they will be seen. The token typically includes:

  • A sequence number (e.g., "A-45" or just "147")
  • The date and business day it was issued for
  • Sometimes the queue or department name
  • A barcode or text that can be scanned

Why do I have to wait for my token to be called?

Each queue processes patients in the order their tokens were issued. The clinical staff call tokens in sequence so that:

  • Patients are seen fairly in the order they arrived
  • The clinic or department can manage workflow and room availability
  • Staff know exactly who is next and where they are being seen

Once your token is called, go to the designated location (waiting room, clinic room, lab, pharmacy, etc.) shown on the token or announced by the staff.

Can I transfer my token to someone else?

No. Tokens are issued to a specific patient and are linked to that person's medical record and billing information. A token cannot be transferred or used by another person. If someone else needs to be seen, they must register at the front desk and receive their own token.

What if I lose my token?

If you lose your physical token receipt:

  1. Go back to the front desk and tell them you lost your token.
  2. Provide your name or ID so they can look up your token in the system.
  3. The staff can reprint your token or issue you a replacement token for the same appointment.
  4. If you already had a token number and it has been called, ask when the next available appointment time is.

How does scanning a token work?

Scanning a token is a shortcut used by some clinical departments (like pharmacy, OPD, or emergency). Instead of typing a patient's name, a staff member uses a barcode scanner to read the token number. The system then automatically finds and opens the patient's record.

To use token scanning:

  • When you register a patient, look for a search field (patient search, contact search, etc.)
  • Have the patient's token or receipt ready
  • Hold the token receipt so the barcode is visible to the scanner
  • Quickly scan the barcode
  • The system should automatically select the patient and populate their record

If the scan does not work, see "Token not found when scanning" or type the patient's name manually instead.

Can I use the same token on different days?

No. Each token is valid only for the business day it was issued. If you return to the facility on a different day, you must receive a new token for that day, even if you have an appointment or a previous token receipt. This keeps the queue system organized and prevents confusion when many patients visit on different dates.

What is a business day?

A business day is the operational timeframe your facility uses for queue management. Most facilities use an 8 AM to 8 AM cycle:

  • Your business day starts at 8 AM today
  • Your business day ends at 8 AM tomorrow
  • Any token issued between 8 AM today and 7:59 AM tomorrow belongs to today's queue

Some facilities may use different hours (e.g., midnight to midnight). Ask your front desk or admin which business day schedule your facility follows.

What does "token belongs to the wrong business day" mean?

This error means the token was issued during a different business day from the one that is currently active in the system. For example:

  • You received a token at 7 AM (still part of yesterday's business day, which ends at 8 AM)
  • You try to use it after 8 AM today (when today's business day has started)
  • The system rejects it because it belongs to yesterday's queue

To resolve this, request a new token from the front desk for today's business day.

Why can't I scan a token from another department?

Some facilities set up separate queue systems for each department so that:

  • Each department has its own waiting area and numbering sequence
  • Clinical staff in one department do not interfere with another's workflow
  • The queues remain independent and organized

If your facility does this, a token from the pharmacy queue cannot be used in the OPD (outpatient) queue, for example. If you need to move to a different department or service, ask at the front desk to register in that department's queue and receive a new token.

Some facilities do allow tokens to work across departments if the queue is configured as "shared across departments." Ask your admin if your facility supports this.

Why did my token number jump (e.g., from "45" to "52")?

Token numbers do not skip without reason. If you notice a gap:

  • Patients between "45" and "52" may have been called but did not respond
  • Staff may have cancelled some tokens if patients left without being seen
  • A high-volume period may have issued many tokens quickly, so the next available number is higher
  • The token system may have reset or advanced due to a system adjustment

This is normal. Your position in the queue is based on when your token was issued, not the number on it. If you are waiting longer than expected, ask the front desk staff how many patients ahead of you are still waiting.

Can I change my appointment time if I have a token?

Rescheduling an appointment depends on your facility's policies:

  • Some facilities allow walk-in changes at the front desk before your token is called
  • Some facilities require you to leave and come back at your scheduled time
  • Some facilities do not allow same-day changes

Go to the front desk and ask if you can reschedule. If you do reschedule, you will likely receive a new token for the new time. If you cannot reschedule and must leave, inform the front desk so they can note that you did not show up.

What if the barcode on my token is damaged or unreadable?

If the barcode is damaged but the printed number is still visible:

  • Ask the staff member to type the token number manually instead of scanning
  • Provide the token number clearly (letter and number, e.g., "A-45")

If both the barcode and printed number are damaged and unreadable:

  • Go to the front desk with your physical token receipt
  • Staff can look up your record by your name or ID
  • They can issue a new token or note your attendance in the system manually

How do I know if my appointment was missed or if I should go back to the front desk?

  • If your token was called and you heard your name/number announced, go to the location specified (clinic room, lab, pharmacy, etc.)
  • If you did not hear your token called within a reasonable time (ask staff what is reasonable for your facility), go back to the front desk and ask:
    • "Has my token been called?"
    • "What is my current status?"
    • "Do I need a new token or have I missed my slot?"
  • If you have to leave before your token is called, inform the front desk so they can cancel your token and you will not be marked as a no-show
