Token belongs to the wrong business day

Understand and resolve issues when a queue token is from a different business day.

Symptom

You scan a queue token (receipt), and the system shows an error such as "Token belongs to a different business day" or "This token is no longer valid for today." The token may have been valid yesterday or another date, but it cannot be used now.

Why this happens

Each facility operates on a business day cycle — usually starting at 8 AM and ending at 8 AM the next day. Tokens issued during one business day are scoped to that day only. When the business day advances:

  • Tokens from the previous day are archived and no longer active
  • Patients requesting service must receive a new token for the current business day
  • This prevents confusion when the same patient visits on different days and may need different services

Your facility may also have a custom business day boundary (e.g., midnight to midnight) configured by your admin. Tokens issued before that boundary do not carry forward.

How to fix it

If the patient is a returning visitor from a previous day:

  1. Confirm the date on the token matches the previous business day (check the token printout).
  2. Ask the patient to visit the front desk and request a new token for today's date.
  3. The patient will receive a new token in the current business day's sequence.
  4. Scan or use the new token to register the patient.

If you are trying to use a token from earlier today but the system says it is from the wrong day:

  • Check your facility's business day start time. If your facility uses an 8 AM business day boundary and the token was issued at 7:30 AM, it may still be from the previous business day in the system.
  • Ask the patient to go to the front desk and confirm the token date/time.
  • If the token should be valid today, contact your admin — there may be a clock synchronization issue or a custom business day configuration that needs adjustment.

If a patient has multiple valid appointments across different days:

  • Each appointment uses the business day it was booked for.
  • The patient will need separate tokens for each day they visit.
  • The system cannot combine or transfer tokens across business day boundaries.

If your facility is processing a high volume and tokens are aging quickly:

  • This is normal. Your queue system is managing daily patient flow correctly.
  • Ensure staff at the front desk are issuing fresh tokens regularly, especially during high-demand periods.
  • If you need tokens to persist longer (e.g., for multi-day admissions), ask your admin to review the queue and business day settings.

Prevention tips

  • Print clearly: Ask your front desk staff to ensure token receipts are printed clearly so dates are readable.
  • Check the date on every token: When you receive a token, glance at the date to confirm it is today's date before scanning.
  • In busy periods, refresh your token: If you are not called within an hour or two, ask at the front desk to confirm your token is still active and get a new one if needed.
  • For standing appointments: If a patient has a regular appointment time each day, they should request a fresh token each morning rather than trying to reuse a token from a previous day.

When to contact support

  • Tokens from TODAY are showing as "wrong business day" even though they were just issued
  • Your facility's business day does not match the expected time (e.g., you expect 8 AM but the system thinks it is midnight)
  • You see this error in patterns (e.g., only morning tokens, or only tokens from a specific queue)
  • Staff are reporting confusion about business day boundaries, and you need help clarifying the facility's schedule
