Issuing a token to a patient
Give a patient a token when they arrive or check in for an appointment.
When a patient arrives at your clinic or department, they receive a token (a queue number) that helps them and your staff know their position in the waiting sequence. Issuing a token marks the patient as present and ready to be seen.
Before you start
- The patient must be registered in the system (have a contact or patient record)
- The queue must be set up and active
- You must have permission to issue tokens in that queue
Steps

Go to Queues and select the queue for the patient's department. Open in Usystems

If the patient is checking in for a scheduled appointment, find the appointment in the queue list and click Issue Token or similar button.

If the patient is a walk-in (no prior appointment), look for an option such as New Token or Add Walk-in and enter the patient's contact details or select them from your contact list.

The system will assign the next available token number and display it to you and the patient. Note the number.

Optionally, you can print the token (a physical ticket) by clicking the print icon or Print Ticket button. See "Printing queue tickets" for details.

Give the patient the token number (either verbally, on a printed ticket, or on screen depending on your setup). They now know their position in the queue.
Tips & common mistakes
- Verify patient identity before issuing a token to ensure the correct person is checked in
- If a patient has a scan code or QR code on their appointment card, scanning it automatically selects them and issues a token (if your system supports this)
- Only issue one token per patient per visit; issuing multiple tokens by mistake creates confusion
- If you issue a token by accident, cancel it immediately before the patient leaves the queue
