Refunding money to a customer

Process a full or partial refund to a customer for an invoice or sales receipt they returned or no longer need.

When a customer returns goods, requests to cancel an order, or disputes a charge, you may need to refund the money they paid. Usystems lets you process full refunds (return the entire amount) or partial refunds (return money for specific items only). Each refund is recorded separately, so you have a clear audit trail.

Before you start

  • You must have permission to create and manage refunds.
  • The invoice or sales receipt you are refunding must already exist in the system.
  • Decide whether you are refunding the entire sale or just some items.
  • Know which account to credit with the refund money (usually a bank account or cash account). This is where the money will come from.

Steps for a full refund

  1. Go to Invoices (or Sales Receipts if it was a sales receipt). Open in Usystems

  2. Find and click on the invoice or sales receipt you want to refund.

  3. On the invoice detail page, look for the Refund or Create Refund button or option.

  4. A refund form will appear. Confirm the refund type is set to Full Refund.

  5. In the Refund Account field, choose the account that the money will come from (e.g., Bank Account - Primary or Cash - Main Office).

  6. Optionally, enter a Reason for the refund (e.g., "Customer return," "Incorrect order," "Damage in transit").

  7. Review the refund amount (this should match the invoice total).

  8. Click Save or Submit to record the refund.

  9. If required, click Approve or Complete to finalize the refund.

Steps for a partial refund

  1. Go to Invoices or Sales Receipts. Open in Usystems

  2. Find and open the invoice or sales receipt.

  3. Click the Refund button and choose Partial Refund.

  4. A list of items on the invoice will appear. For each item you want to refund:

    • Check the box next to the item.
    • Enter the Quantity you are refunding (can be less than the full quantity ordered).
    • The refund amount for that item will calculate automatically.
  5. In the Refund Account field, choose where the money will come from.

  6. Optionally, add a Reason.

  7. Review the total refund amount at the bottom.

  8. Click Save or Submit.

  9. Approve the refund if required.

Accounting impact

When you record a refund, Usystems reverses the sale:

  • Accounts Receivable (customer balance) is reduced by the refund amount.
  • The refund account (usually Cash or Bank) is reduced, showing money going out to the customer.
  • Revenue is reversed for the items refunded (reducing your income).
  • Inventory is increased if you are refunding goods that will come back to you.
  • Taxes paid on the original sale may be reversed if the refund includes tax.

These changes are posted to your general ledger automatically.

Tips & common mistakes

  • Record the refund as soon as you decide to refund. Do not wait; a refund in draft status does not appear in your financial reports.
  • Use partial refunds for complex returns. If a customer returns some items but keeps others, a partial refund keeps your records clear and accurate.
  • Verify the customer's refund account balance. If you are refunding to a customer's advance balance (pre-payment) instead of cash, make sure you choose the right account.
  • Keep a reason. Even a short note (e.g., "Return - wrong size") helps with audits and customer disputes.
