Common Tasks — Quick Steps
Sale with immediate payment
- Go to POS Open in Usystems
- Scan or select items
- Choose payment method and collect money
- Confirm; receipt prints automatically
Sale without immediate payment
- Go to Invoices → New Invoice Open in Usystems
- Choose the customer (or leave as walk-in)
- Add items/services
- Select Unpaid (or leave blank)
- Save (do not submit yet)
- Customer pays later
Customer comes to pay an old invoice
- Go to Invoices Open in Usystems
- Find the invoice
- Click Record Payment (or button to mark paid)
- Enter payment method and amount
- Confirm
Accept payment for something already invoiced
- Go to Payments Open in Usystems
- Click New Payment or Add Payment
- Choose the customer and invoice
- Enter amount and method
- Save
Customer wants a refund
- Go to Refunds Open in Usystems
- Create a new refund or mark the sale as returned
- Enter amount and reason
- If cash, give money back; if card, process reversal
- Print receipt showing refund
Customer asks for a discount
- If making a sale (POS): look for Discount button before confirming
- If on invoice: there should be a Discount field; fill it in before saving
- Always record the discount reason in notes (if applicable)
Daily Checklist
- Log in to Usystems
- Count opening cash
- Test card reader and printer
- Record opening shift (if required)
- Throughout the day: record each sale immediately
- At end of day: count closing cash
- Compare system total to your count
- Report any differences to manager
- Close your shift (if required)
- Hand over money to safe/manager
