Your step-by-step routine from arriving at the clinic to closing out your day's cases.
What this section covers
This guide walks you through a typical day in Usystems as a doctor — from clocking in and seeing your patient queue, through examining each patient and documenting findings, to closing cases and handing off orders to pharmacy and lab.
Before you start
- You have a login and password (provided by your clinic admin).
- Your queue(s) have been assigned by your admin (ask them if you're unsure which queues are yours).
- You understand the three-step case flow: open a case → examine and document → close the case.
- You have read access to past patient history; you don't need special permissions to view it.
Steps
1. Log in and view your dashboard
Go to the clinic login page.
Open in Usystems
Enter your username and password, then click Sign In. You'll land on your home dashboard, which shows an overview of your queues and recent cases.
2. Check your queue
Go to Queues from the left-hand menu.
Open in Usystems
You'll see a list of queues you're assigned to. Each queue shows:
- Queue name (e.g., "General Clinic," "Emergency")
- Patients waiting (a count of people in the queue right now)
Click into the queue you're working in today. A list of waiting patients appears with their name, age, and chief complaint.
3. Select a patient and open a medical case
Click on the patient's name in the queue. The system creates a new medical case for that patient visit.
Inside the medical case, you'll see:
- Patient information (name, age, contact info)
- Past medical history (previous visits, diagnoses, allergies)
- Vital signs section (where you'll record today's measurements)
4. Record vital signs and exam findings
Scroll down to the Vital Signs section. Record:
- Temperature, blood pressure, heart rate, respiratory rate, O₂ saturation (as applicable).
Below vital signs, find the Examination or Assessment section. Document your findings:
- What did you observe during the exam?
- What is the patient's chief complaint?
- Any abnormal findings?
Type freely; this is your clinical note.
5. View past medical history and allergies
Before prescribing or ordering tests, scroll up to see:
- Past diagnoses (from earlier visits).
- Known allergies.
- Current medications (if any).
This is critical to avoid prescribing something contraindicated.
6. Add a diagnosis
In the Diagnosis section, click + Add Diagnosis. Enter the disease or condition (using the standard disease list in Usystems or free text). You can add multiple diagnoses for one visit.
7. Order a lab or imaging test (if needed)
Click + Order Lab Test or + Order Imaging. Select the test type (e.g., "Complete Blood Count," "Chest X-ray"). The system sends this order to the lab or imaging department, and you'll be notified when results arrive.
8. Write a prescription
Click + Add Prescription. Enter the medication name, dose, frequency, and duration. For example:
- Medication: Amoxicillin
- Dose: 500 mg
- Frequency: Three times daily
- Duration: 7 days
Click Save. The prescription is instantly sent to pharmacy — they'll prepare it and the patient can pick it up.
9. Close the case
Once you've documented everything and are satisfied with the patient's visit, click Close Case at the top or bottom of the case. This signals that the visit is complete.
Important: Closing the case does not delete it. It remains in your records and is searchable. You can re-open it later if needed.
10. Repeat for the next patient
Return to your queue. The patient you just closed will be removed from the waiting list. Select the next patient and repeat steps 3–9.
Tips & common mistakes
- Always check allergies before prescribing. It's the single most important safety check.
- Don't skip vital signs. Even if the patient seems well, recording vitals creates a medical record and is required for continuity of care.
- If a patient needs an urgent referral to a specialist, mark them in your notes and alert your clinic manager — Usystems doesn't have a referral function yet, so you'll need to coordinate by phone or in person.
- Lab results and imaging uploads are not instant. Lab technicians upload results when they're ready. Check back tomorrow if you don't see results the same day.
- You can always add more notes. If you forget something after closing a case, you can re-open it and add more information.
