Troubleshooting
| Problem | Likely Cause | Fix |
|---|---|---|
| "Patient not found" | Patient never registered or name spelled differently | Ask patient to verify name spelling; if truly new, create new record in Patients Open in Usystems |
| Patient record has wrong phone number | Data entry error or patient didn't update | Go to Patients Open in Usystems → click patient → Edit; correct phone and click Save |
| Can't find the right queue | You're looking for a specialty that isn't available today | Check with your manager; ask what services are open today |
| Patient not appearing in queue list | Patient not checked in properly | Go to Queues Open in Usystems, find the queue, verify patient is listed, or check them in again |
| A patient is waiting too long | Queue is backed up or doctor running behind | Check queue with your manager; reassure patient and provide updated wait time |
| Patient information won't save | Required field is missing (usually name or phone) | Look for red asterisk (*); fill in missing field; try saving again |
| "Permission denied" when creating a patient | Your account doesn't have patient creation rights | Ask your manager or admin to grant you Patient Create permission |
| Duplicate patient created | Same person registered twice with slightly different names | Tell your manager; they can merge records or delete the duplicate |
Permissions You Need
- View patients — to search and view records
- Create patients — to register new patients
- Edit patients — to update phone, address, contact info
- View queues — to check in and manage patient flow
- Manage queues — to add/remove patients from queues
If you see "You don't have permission" for any task, tell your manager.
When to Call Your Manager
- New patient data seems incomplete — missing required fields; ask what to do
- A patient asks for medical advice — politely redirect: "The doctor will discuss this with you"
- A queue is very long or wait time is excessive — let manager know; ask if more staff should be called in
- You see a patient you recognize as having a serious condition — maintain confidentiality but alert your manager if needed for duty-of-care
- A patient is upset or angry — stay calm, call your manager to help de-escalate
- You're unsure about a patient's status — ask your manager rather than guessing
- A system function isn't working — report it; don't skip the step; it could cause data loss
