Receptionist / Front Desk: daily workflow
Manage patient check-ins, queues, and clinic flow from opening to closing.
What This Workflow Does
As a receptionist, your day revolves around greeting patients, registering them, checking them into queues, and keeping the clinic on schedule. This workflow guides you from clinic opening through closing, with key tasks throughout the day.
Before You Start
- Permissions required: You need permission to view/create patients and manage queues.
- Data to have ready: Know which departments and queues your clinic operates today, and what the expected patient volume is (your manager usually briefs you).
- System access: Login to Usystems and have the Patients and Queues pages open or bookmarked.
- Physical setup: ID cards or badges, registration forms (if printed), a clear desk space, and a friendly greeting ready.
Steps
1. Arrive early and prepare the clinic (15 minutes before opening)
- Open Usystems and check Queues Open in Usystems to see which ones are active today.
- Review the day's schedule if available (e.g., "High volume expected in OPD" or "Dr. Rashid on leave, only general clinic today").
- Tidy your desk, ensure the waiting area is clean, and test that you can hear patients approaching.
2. At opening time, greet the first patient When a patient arrives:
- Stand, smile, and greet them warmly: "Good morning, welcome to [clinic name]. How can I help you today?"
- Ask their name and if they're a new or returning patient.
3. Check if the patient exists in the system Go to Patients Open in Usystems:
- Search for their name or phone number.
- If found, click to view their record and confirm details.
- If not found, they're a new patient—proceed to step 4.
4. Register a new patient (if needed) Go to Patients Open in Usystems and click New Patient:
- Enter name, age, and gender.
- Collect phone number and address.
- Ask: "Is this your first visit to our clinic?" (helps with medical history context).
- Ask: "Who should we call in case of emergency?" (emergency contact).
- Click Save.
5. Verify or update the patient's information Whether new or returning:
- Confirm the phone number is correct (in case we need to call).
- Ask: "Has your address changed since your last visit?" Update if yes.
- Ask: "Are you insured? If yes, which provider?" Update insurance info if available (your manager may do this, or you may).
6. Ask about the reason for visit Politely ask: "What brings you in today?" Listen to their answer. Common responses:
- "General checkup" or "Follow-up" — note this.
- "I have a pain in my leg" or "Dental problem" — note the specific area.
- "Routine appointment for my chronic condition" — note the condition.
This information helps route them to the correct doctor or department.
7. Direct the patient to the correct queue Go to Queues Open in Usystems:
- Based on their reason for visit, select the appropriate queue (e.g., OPD for general medicine, Dental queue for dental issues).
- Click Check In or Add Patient (your manager will tell you the exact button).
- The system shows the queue position: "You are #5 in the queue. The estimated wait is 20 minutes."
- Tell the patient verbally and, if possible, print or show them a receipt with their queue number.
8. Throughout the day, monitor patient flow Periodically check Queues Open in Usystems:
- See how many patients are in each queue and how long the wait is.
- If a queue is very long, alert your manager (they may need to open another doctor's line or adjust schedules).
- If a patient hasn't been called yet and seems frustrated, politely reassure them: "You're next, just a few more minutes."
9. Handle follow-up questions or changes If a patient comes back to the desk:
- "My phone number is different now" — go to Patients Open in Usystems, find them, click Edit, and update the phone number. Click Save.
- "I need to reschedule" — ask your manager (you may not have booking authority; they'll handle it).
- "Can I ask the doctor a quick question?" — politely say the doctor will see them in the queue and can answer then.
10. At the end of the day, close the queues Go to Queues Open in Usystems:
- Check if there are any remaining patients still waiting (your manager may want to ensure everyone was seen or scheduled for tomorrow).
- Note any patients who left before being seen (report to your manager).
- Close or deactivate the queues for the day.
Accounting / Administrative Impact
- Patient records are linked to billing. If you register a patient with a wrong phone number or address, follow-up calls or bills will fail.
- Queue data helps the clinic track volume and wait times. Accurate check-ins let your manager see which services are busiest.
- Insurance information (if collected) is critical for payment. If you skip or mis-enter this, the clinic may not get reimbursed.
Tips & Common Mistakes
- Create a new patient only once. If you accidentally create a duplicate, ask your manager to merge or delete the extra record. Duplicates cause confusion in billing and medical history.
- Spell names carefully. A patient named "Ahmed" is different from "Ahmad." Get the patient to spell their name if you're unsure.
- If a queue is very long or patients are upset, stay calm and let your manager know immediately. Don't promise things you can't control ("Your wait will be 5 minutes")—just be honest and reassuring.
- Keep confidential information private. Don't discuss a patient's condition with others in the waiting area. Always speak quietly.
- If you're unsure about something, ask your manager. It's better to ask than to guess and get it wrong. Your manager is there to support you.
