Production delivery and status tracking
Track the manufacturing progress and deliver finished goods to the customer.
As your production job progresses, you track its status through various stages—from in-progress to ready for delivery. Once manufacturing is complete, you deliver the finished goods and close the job to fulfill the original sales order.
Before you start
- A production job must exist and be assigned or in progress.
- All raw materials and components must be received into inventory.
- The manufactured items must be complete and ready for quality inspection or delivery.
- You must have permission to update production jobs and create deliveries.
Steps
Tracking production status
-
Navigate to Production Jobs or Manufacturing. Open in Usystems
-
Open the production job you want to track.
-
Review the current status field, which shows where the job stands (e.g., In Progress, On Hold, Ready for Delivery).
-
If needed, update the status by choosing the next stage from a dropdown or button.
-
Add any notes about the work completed or issues encountered.
-
Click Save to record the status update.
Delivering finished goods
-
Once manufacturing is complete, open the production job again.
-
Look for the Create Delivery or Deliver button on the job details page.
-
Click it to open the delivery form.
-
Verify the:
- Items being delivered: Should match the manufactured items
- Quantities: Should match the production job quantities
- Destination: Typically the customer or a location for shipment
-
Add delivery notes (e.g., shipping address, expected delivery date, carrier information).
-
Click Create Delivery or Confirm to record that the goods are ready or have been sent.
-
The system links the delivery back to the original sales order, marking it partially or fully fulfilled.
Accounting impact
When you record the delivery of finished goods, the system automatically posts the cost of raw materials and labor to the finished goods inventory account (as a debit) and records the revenue from the sales order (as a credit) when the invoice is issued. The delivery itself does not create a journal entry but serves as the basis for invoicing.
Tips & common mistakes
- Status updates are sequential: You generally cannot skip from In Progress directly to Completed without passing through Ready for Delivery. Follow your workflow.
- Check quantities before delivery: Ensure the quantity delivered matches what was produced. Short or excess deliveries can cause invoice mismatches.
- Link deliveries to invoices: After delivery, create or verify the invoice against this shipment. Do not invoice goods you have not yet delivered.
