Selling to a one-time / walk-in customer

Record sales to unnamed or one-time customers without creating a customer account.

A walk-in or one-time customer is someone who comes in to buy something once, without an existing account in your system. Usystems allows you to record sales to walk-in customers without selecting or creating a customer record. This is useful for retail, point-of-sale, or casual transactions where you don't need to track the customer's name or build a relationship.

Before you start

  • You don't need a customer account for walk-in sales.
  • You do need permission to create sales receipts.
  • Know what items you're selling, quantities, and prices.

Steps

  1. Go to Sales Receipts → New Receipt Open in Usystems

  2. Leave the Customer field blank (do not select a customer).

  3. Add line items as you normally would (see "Adding lines: products, services, quantities and units" for details).

  4. Fill in the receipt header details: date, memo (optional), currency if needed.

  5. Choose the warehouse if you're selling from inventory.

  6. Select the cash or card account that will receive the payment.

  7. Review the totals and confirm the items are correct.

  8. Click Save to record the receipt.

Accounting impact

When you save a sales receipt with no customer:

  • Sales revenue is credited (increased) in your income account.
  • Cash or card account is debited (increased) — the money is received immediately.
  • If items are from inventory, cost of goods sold is recorded and inventory is reduced.
  • The sale is recorded as a walk-in transaction with no customer balance tracked.

Tips & common mistakes

  • No customer history. Walk-in sales don't build a customer record. If the same person comes back tomorrow, you won't have their prior purchase history (unless you select them as a customer on the new receipt).
  • Consider adding the customer. If this customer might return, create a customer account first (in Contacts → Customers), then select them on the receipt. This builds a relationship and allows you to offer customer-specific discounts.
  • Leave customer blank, not zero. Do not select a "General Customer" or "Cash Customer" account; simply leave the customer field empty.
  • Immediate payment required. Walk-in sales must be paid immediately (cash, card, or other). You cannot extend credit on a walk-in transaction.
