FAQ: Managing Sales Receipts
Answers to common questions about editing, deleting, and organizing receipts.
Can I change the date of a sales receipt after I save it?
No. The date of a receipt is locked once saved to prevent accounting period mismatches. If the date is wrong, the correct action is to refund the entire receipt and create a new one with the right date. This keeps each accounting period accurate.
Can I print a sales receipt multiple times?
Yes. You can print a receipt as many times as you need without affecting the transaction. The receipt remains a single transaction in your system; printing does not create duplicates.
What happens if I change the customer on a receipt?
You can change the customer if the receipt is unpaid and has no refunds. Once you change the customer, the original customer's account will no longer show this receipt, and the new customer's account will reflect the sale. However, if payments have been made or refunds issued, contact your accounting team before reassigning—the change may require adjustments to balance accounts.
Can I see who created or last edited a receipt?
This depends on your system's audit trail settings. Many organizations log who created a receipt and when. Check with your manager or system administrator to see if this information is available. You may find it in an audit tab on the receipt detail page.
Why does the system prevent me from editing line items?
Line items (quantities and prices) are locked to prevent accidental changes that would break the accounting trail. Instead of editing, the proper method is to:
- Refund the incorrect portion
- Create a new receipt with the correct items
This way, both transactions remain visible in your audit trail, and accountants can trace what happened.
Can I bulk-delete or bulk-refund receipts?
This depends on your system and role. Some organizations allow bulk refunds or deletions through a report interface, while others require you to refund or delete receipts one at a time. Ask your manager what is available in your version.
What if a customer disputes the receipt?
- For a wrong amount: Refund the difference to the customer, or issue a credit memo.
- For wrong items: Refund the items and create a new receipt with the correct items.
- For a wrong customer: If the receipt is unpaid, you can change the customer. If payments were made, refund the receipt and create a new one for the right customer.
Document the dispute and resolution in the receipt notes so future users understand the context.
Can I undo a deletion?
Once a receipt is deleted, it cannot be restored directly. However, your system administrator may be able to recover it from a backup. If deletion was a mistake, contact your administrator immediately. Otherwise, recreate the receipt with the same information.
How do I organize receipts for a specific customer?
Go to Invoices → View all sales receipts and use filters:
- Filter by customer name or account
- Filter by date range
- Sort by date, amount, or status
You can also add custom tags to receipts for easier sorting and searching. Tag receipts with project names, regions, or any other category relevant to your business.
