Missing account errors (receivable/payable/cash not set)
Understand and fix errors caused by unset accounts in your chart.
Symptom
When you try to save an invoice, you see an error such as:
- "Receivable account not found"
- "Payable account not found"
- "Cash account not set"
- "Account for [account_type] is missing"
The invoice will not save until the missing account is configured.
Likely causes
1. Chart of Accounts is incomplete Your chart of accounts is missing one or more required account types. For invoices, the system needs:
- A Receivable account (for customers who owe you money).
- A Cash account (for immediate cash sales).
- Accounts for Sales (revenue), Returns, Discounts, and Tax (if tax is enabled).
Fix:
- Go to Settings → Chart of Accounts Open in Usystems.
- Click + New Account and create the missing account with the correct type (Receivable, Payable, Sales, Cash, etc.).
- For each new account, ensure the Account Type dropdown correctly reflects its purpose.
- Save the account and try the invoice again.
2. Account is not linked to the correct product line Your chart might have accounts, but they are not configured for the product line (e.g., pharmacy, inventory, services) that this invoice belongs to.
Fix:
- Go to Settings → Business Configuration (or Product Settings in your product).
- Select the product line that is failing (e.g., Pharmacy, Oil & Gas, Accounting).
- Ensure that Receivable, Payable, Cash, Sales, Returns, Discounts, and Tax accounts are all selected in the configuration.
- Save and try the invoice again.
3. Account is marked as inactive or archived An account may exist but be marked as inactive, so the system cannot use it.
Fix:
- Go to Accounts Open in Usystems.
- Search for the account by name or type.
- Open the account. If you see a Status: Inactive label, click Activate (if available) or edit the account and change the status to Active.
- Save and retry the invoice.
4. Wrong account type is set An account may exist but be marked with the wrong type. For example, a Receivable account might be marked as Payable.
Fix:
- Go to Accounts Open in Usystems.
- Find the account that is causing the error.
- Edit the account and verify the Account Type is correct.
- Save and retry.
5. No default account is set for the customer's currency If an invoice is in a currency (e.g., USD) and no receivable account is set up for that currency, the save will fail.
Fix:
- Go to Accounts Open in Usystems and create a receivable account for the missing currency.
- Update Business Configuration to assign this new account.
- Alternatively, check the customer's currency and change the invoice currency to match an available account.
When to contact support
If you have added all required accounts to your chart and linked them in business configuration, but the error persists, contact support with:
- The exact error message.
- The product line or module where you are trying to save the invoice.
- A list of all account types you have configured in your chart.
