Quick Greeting Scripts

For a returning patient:

If a patient seems worried:

"The doctor will see you shortly. You're in good hands here."

If a patient asks how long the wait is:

Permissions You Need

  • View patients — to search and view records
  • Create patients — to register new patients
  • Edit patients — to update phone, address, contact info
  • View queues — to check in and manage patient flow
  • Manage queues — to add/remove patients from queues

If you see "You don't have permission" for any task, tell your manager.

When to Call Your Manager

  • New patient data seems incomplete — missing required fields; ask what to do
  • A patient asks for medical advice — politely redirect: "The doctor will discuss this with you"
  • A queue is very long or wait time is excessive — let manager know; ask if more staff should be called in
  • You see a patient you recognize as having a serious condition — maintain confidentiality but alert your manager if needed for duty-of-care
  • A patient is upset or angry — stay calm, call your manager to help de-escalate
  • You're unsure about a patient's status — ask your manager rather than guessing
  • A system function isn't working — report it; don't skip the step; it could cause data loss

Daily Checklist

Before clinic opens:

  • Check which queues are active today
  • Ensure desk is clean and supplies are stocked
  • Test that Usystems is responsive
  • Review any special notes from your manager (e.g., VIP patient, high volume expected)

Throughout the day:

  • Greet each patient warmly
  • Verify or create their record
  • Check them into the correct queue
  • Monitor queue wait times
  • Keep the waiting area clean and comfortable

At end of day:

  • Confirm all patients were seen or rescheduled
  • Close/deactivate queues
  • Note any no-shows or walk-ins
  • Tidy your desk
