What You Do

As a receptionist or front desk staff, you are the first person patients see when they arrive at the clinic. Your job is to welcome them, register them in the system, verify their information, route them to the right service or queue, and manage the flow of patients throughout the day.

Why This Matters

You set the tone for the patient's experience. A warm greeting and accurate information reduce anxiety and build trust. Behind the scenes, accurate registration ensures the clinic has correct contact information, medical history access, and financial records. Mistakes in data entry—a wrong phone number or address—can cause missed appointments or billing problems later.

How It Works in Usystems

The patient flow has five main steps:

  1. Greet and identify the patient — When they arrive, ask their name, check if they've visited before, and if they're a new patient, create their record.

  2. Verify or update their information — Confirm their address, phone number, insurance, and emergency contact. Update any changes.

  3. Ask about their visit — Why are they here today? Are they following up on a previous visit, or is this a new complaint?

  4. Route them to the correct queue or service — Based on their needs, direct them to the right department (general medicine, dental, orthopedics, etc.) or queue (e.g., OPD—outpatient department queue).

  5. Track their progress — Throughout the day, you monitor when patients are called in and ensure the clinic stays on schedule.

Where to Start

Go to Patients Open in Usystems or Queues Open in Usystems to see your clinic's patient list or active queues. On your first day, ask your manager to show you:

  • How to search for an existing patient
  • How to create a new patient record
  • How to check a patient into a queue
  • Where to find department information

Then practice with a patient under their supervision.

Tips

  • Learn to pronounce patient names correctly. Respect and a correct name go a long way. Ask the patient if you're unsure.
  • Keep the registration form simple. You'll ask for name, age, phone number, address, and reason for visit. Your manager will tell you if more is needed.
  • Be friendly but professional. A warm greeting doesn't mean being casual—patients want efficient, competent care, and you're part of that first impression.
  • If a patient seems confused or worried, stay calm and reassure them. A simple "The doctor will see you as soon as possible" can ease anxiety.
  • Ask clarifying questions if a patient's reason for visit is vague. If they say "I don't feel well," ask a follow-up: "Any pain, fever, or other symptoms?" This helps route them correctly.
