Adding lines: products and services

Each line on a sales order represents one product or service that the customer ordered. You can add as many lines as needed to capture the full order.

Before you start

• The customer must be selected on the sales order.
• All products and services you want to add must be created in Products & Services.
• You should know the quantity and any custom price (if different from the standard price).

Steps

1. On the sales order form, scroll down to the Lines section. Open in Usystems

2. Click Add Line to add the first item.

3. In the Product/Service field, type or search for the product or service name. Select it from the dropdown.

4. Enter the Quantity the customer ordered.

5. The Price fills automatically from the product's standard price. If you need to charge a different price for this order, you can edit it.

6. The Total (quantity × price) is calculated automatically.

7. (Optional) If your account structure requires it, you can select the Account where this line should be recorded. Usually this is set by your product setup, so you may not need to change it.

8. Click Add another line to continue adding items, or click outside the line to finish.

9. When you are done adding all items, review the order total at the bottom and click Save.

Accounting impact

Each line will create a debit to the Asset or Revenue account linked to the product (when the invoice is created). The account is determined by the product's settings, but can be overridden per line if needed.

Tips & common mistakes

• Quantity must be positive: you cannot add zero or negative quantities to a sales order.
• Edit prices carefully: if you change the price for a line, make sure it is really the price you want to charge. There is no separate discount field on the line itself.
• You can delete a line by clicking the delete icon next to that line. The total updates automatically.
• Product not in the list? Go to Products & Services and create it first, then come back to your sales order.
• Prices are not locked: if a product price changes later, the sales order keeps the price that was on the order when you created it.
