Document-level discounts and discount templates on a sales order

A document-level discount reduces the entire order total, not just one line. You can apply a flat percentage or use a pre-defined discount template (such as "10% loyalty discount" or "5% early-payment discount") set up by your administrator.

Before you start

• The sales order must exist with at least one line item added.
• Calculate the subtotal first (before line discounts, if any), so you know what you're discounting.
• If you want to use a discount template, it must be created in Settings → Discount Templates by your administrator.

Steps

1. Open the sales order you want to discount. Open in Usystems

2. Scroll down to find the Discounts section or Document Discount field, usually near the order totals at the bottom.

3. You have two options:

   Option A: Apply a flat discount

   • Click the Discount field and enter a percentage (e.g., "5%") or a flat amount (e.g., "2000").
   • The order total updates immediately.

   Option B: Use a discount template

   • Click on the Select Template dropdown (if available).
   • Choose a pre-defined template (e.g., "Loyalty 10%").
   • The discount is applied automatically based on the template settings.

4. Review the order total to make sure the discount was applied as expected.

5. Click Save to apply the discount to the order.

Accounting impact

When the order is converted to an invoice, the document discount reduces the gross revenue. The system posts the net amount (after discount) to the revenue account. If your company tracks discounts separately, a discount account may also be created.

Tips & common mistakes

• Document discount applies after line discounts: if a line already has a 10% discount and you apply a 5% document discount, the 5% applies to the already-discounted total.
• Check discount templates: ask your administrator what templates are available. Using a template ensures consistency and compliance with approved discounts.
• You can only apply one template at a time. If you need multiple discounts (e.g., quantity discount + loyalty discount), apply them as line discounts or ask your administrator to set up a combined template.
• Negative discounts (surcharges) are not supported in most templates. For a price increase, edit the line prices instead.
• Templates may have conditions: some templates only apply if certain conditions are met (e.g., order over 10,000). Check the template definition.
