Choosing and customizing the sales order print template
Select a template and adjust how your sales orders look when printed.
Print templates control the layout, branding, and content of your printed sales orders. Most systems come with a default template, but you can choose from other templates or customize one to match your company's style and legal requirements.
Before you start
- You must have admin or settings permission to customize print templates.
- Know what information you want to appear on the printed order (company logo, payment terms, tax ID, etc.).
- Decide if you need multiple templates (e.g., one for domestic customers, one for exports).
- Have your company branding assets ready (logo, fonts, colors).
Steps to choose a template

Navigate to Settings → Print Templates or System Settings → Document Templates. Open in Usystems

Look for a section labeled Sales Order or Sales Documents.

You will see a list of available templates (usually including a Default, Professional, Minimal, etc.).

Click on a template name or thumbnail to preview it.

If you like the template, click Set as Active or Use This Template to apply it to all new sales orders.

Click Save to confirm the change.
Steps to customize a template

Navigate to Settings → Print Templates. Open in Usystems

Find the sales order template you want to customize.

Click the template name or an Edit or Customize button.

In the template editor, you can adjust:
Header & Branding:
- Upload your company logo
- Add company name, address, and contact details
- Change fonts and colors
Content sections:
- Choose which fields to display (e.g., customer PO number, shipping address, delivery date)
- Reorder sections (header, items, totals, terms)
- Add or hide notes, payment instructions, or legal text
Item table:
- Adjust column widths (item name, description, quantity, price, total)
- Show or hide unit prices, discount amounts, or tax breakdowns
Footer:
- Add a company tagline, website, or social media
- Include standard payment terms or thank-you message

Click Preview to see how the template looks with sample data.

Make any final adjustments.

Click Save to store your customized template.

The next time you print a sales order, it will use your updated template.
Accounting & legal considerations
- Ensure your template includes any legally required fields (tax ID, invoice authority, regulatory disclaimers).
- If you operate in multiple jurisdictions, you may need separate templates that show the correct tax treatment or terms for each region.
- Include your payment terms on the template so customers see them every time they receive an order.
Tips & common mistakes
- Test print before deploying: Always print a sample using the new template before rolling it out. Check for alignment, readability, and completeness.
- Keep templates consistent: If you have multiple templates, ensure they all have your branding so they look like they come from the same company.
- Mobile printing: Some systems can print sales orders from mobile devices. Test the template on mobile to ensure it scales properly.
- Backup your customization: If you have extensively customized a template, save a copy or document your changes in case you need to restore it.
