What a refund of a sales receipt posts: money back and stock back
Understand the accounting and inventory impact when you refund a receipt.
When you create a refund on a sales receipt, the system reverses both the money side and the goods side of the original transaction. Understanding this impact helps you verify that refunds are posted correctly and reconcile your accounts.
How a refund works
A sales receipt records two things: (1) the customer paying or owing money, and (2) goods leaving your warehouse. A refund reverses both:
The money reverses: When you refund, the system credits the customer's account (if they owe you money, the debt shrinks; if you owe them, you increase what you owe). For walk-in customers (those with no ongoing account), a cash refund is issued immediately.
The goods reverse: The system returns the refunded items to your inventory at their original cost. If you had 10 units before the sale and sold 3, refunding 2 puts you back to 9 in stock.

This creates a complete reversal of the original sale. Your revenue is reduced by the refund amount, the cost of goods sold is reduced, and inventory is restored.
Why this matters
- Revenue is accurate. Your sales report will show only net sales after refunds.
- Inventory is correct. Refunded goods are available for resale; you don't accidentally under-count stock.
- Customer balance is correct. If a customer owes you money, refunding reduces the debt. If they paid extra, refunding increases their credit with you.
- Tax is reversed too. If the original receipt included tax, the refund reverses that tax as well, reducing your tax liability.
Partial vs. complete refunds
- Partial refund: Only the refunded items are reversed. Non-refunded items from the same receipt remain as a sale.
- Complete refund: All items are reversed, and the receipt effectively becomes a cancelled sale.
Both follow the same posting logic—they just differ in how many items are included.
