Sales Receipt won't save: common causes
Diagnose why a sales receipt fails to save and fix the issue step by step.
A sales receipt fails to save when required fields are missing, accounts are misconfigured, or the form contains conflicting data. Most save failures are caught by the system with an error message pointing to the problem.
Symptom
You click Save on a sales receipt, but the form does not submit. The page either shows an error banner at the top, highlights fields in red, or simply returns you to the form.
Likely causes (in order of probability)
1. Missing or invalid line items
- The receipt has no item rows, or an item row is incomplete (quantity or price missing).
- Fix: Scroll to the items section and ensure each row has both quantity and price filled in. Delete any empty rows. Add at least one item with quantity > 0 and price > 0, then try saving again.
2. No payment method recorded
- The receipt total is non-zero but no payment method (cash, card, etc.) is selected, or the payment amount does not match the receipt total.
- Fix: Check the payment section of the receipt. Select a payment method and ensure the payment amount equals the receipt total. If you have multiple payment methods, their amounts must sum to the receipt total.
3. Customer account not set up correctly
- The customer field is blank, or the customer selected does not have a valid receivable account configured.
- Fix: Select a customer from the dropdown. If the customer is new, save the customer first via Contacts → New Customer, then return to the receipt form and select them. Verify that the customer's account settings include a receivable account for the transaction currency.
4. Missing or invalid currency
- The receipt currency is blank or does not match the product or customer setup.
- Fix: Confirm the currency is selected at the top of the form. It should match the customer's default currency or the product's setting. If unsure, consult your manager.
5. Invalid discount or tax
- A discount template is missing, or the tax rate is invalid or not configured for the selected account.
- Fix: Remove any discount if not needed. If a discount is required, open Settings → Discount Templates and verify the template exists. If the tax is causing the error, check Settings → Tax Rates to confirm the rate is active and applied correctly.
6. Network or session timeout
- The form may have been open too long, or your connection was lost momentarily.
- Fix: Refresh the page (Ctrl+R or Command+R). If the receipt is still in progress, your unsaved data may be lost. Re-enter the information and save again. Consider saving more frequently, or draft longer receipts offline if your Usystems instance supports it.
When to contact support
If you see an error message that does not match any cause above, or if the receipt still won't save after checking all steps, contact your system administrator or Usystems support with:
- A screenshot of the error message
- The receipt total and number of items
- The browser console errors (press F12, click Console, and copy any red text)
