Searching and filtering the invoices list
Find invoices quickly by customer, date, status, or other criteria.
11 Tem 2026
When you have many invoices, searching and filtering helps you find exactly what you need in seconds.
Before you start
- You have permission to view invoices (typically all users can search their own tenant's invoices).
- You know roughly what you're looking for: a customer name, date range, status, or invoice number.
Steps
-
Go to Invoices → Invoices List and click Open in Usystems.
-
Search by invoice number or customer name (fast filter):
- At the top of the list, find the search box.
- Type the invoice number (e.g.,
INV-001) or customer name (e.g.,Ahmed). - Press Enter or wait a moment—results filter in real time.
-
Filter by status (Draft, Confirmed, Paid, Partially Paid, Cancelled):
- Look for a status dropdown or checkbox group in the filter panel.
- Select one or more statuses to show only invoices in those states.
- Uncheck "Confirmed" if you want to see only drafts, for example.
-
Filter by date range:
- Click the date-range picker and choose a start and end date.
- The list updates to show invoices within that range.
- Use preset ranges like "Last 30 days" or "This month" if available.
-
Filter by customer (if available):
- Find the customer dropdown in the filter panel.
- Select one customer to see all their invoices, or leave blank for all.
-
Combine filters:
- You can apply multiple filters at once (e.g., "Unpaid invoices from January").
- The list updates to match all active filters.
-
Clear filters (if needed):
- Click "Reset" or "Clear all filters" to return to the full list.
Tips & common mistakes
- Partial names work: typing "Ah" will find "Ahmed" and "Ahearn".
- If you don't see invoices you expect, check the date range and status filters—they may be hiding drafts or old invoices.
- Sort by "Date" (newest first) to see recent invoices at the top; sort by "Customer" to group all invoices from the same buyer.
- Use filters to prepare a list before bulk-printing or exporting (if your plan allows).
