FAQ: Payments on Invoices
Common questions about recording, tracking, and managing invoice payments.
What is the difference between an initial payment and adding a payment later?
An initial payment is collected at the moment you create the invoice. Adding a payment later is done after the invoice is already created and submitted. Both reduce what the customer owes, but initial payments are recorded during invoice creation, while subsequent payments are recorded on an existing invoice.
Can a customer pay part of an invoice now and the rest later?
Yes. You can record a partial payment immediately, and the invoice enters Partial status. When the customer pays the remaining balance later, add another payment entry. The invoice then moves to Paid status.
What if the customer pays more than the invoice amount?
The system typically records the overpayment as a credit on the customer's account. This credit (or advance/balance) can be applied to future invoices or refunded. Ask your administrator about your system's overpayment policy.
Can I use a customer's balance (advance payment) to pay an invoice?
Yes. If the customer has an existing credit or advance balance, you can allocate it to the invoice instead of recording a cash payment. Both reduce the amount due.
What if I make a mistake recording a payment?
Contact your administrator. Depending on your system and permissions, you may be able to delete, reverse, or edit the payment. Rules vary; don't attempt to undo it yourself.
How are payments applied to invoices with discounts or taxes?
Payments apply to the full invoice total (subtotal + discounts/taxes). The payment amount is fixed; discounts and taxes don't change how payments are recorded.
Can I accept payment in a different currency?
Yes, if your system supports multi-currency. When you record the payment, select the payment currency. The system converts it automatically using the current exchange rate. You may recognize a gain or loss if the rate has moved.
How do I know if an invoice is fully paid?
An invoice in Paid status has received payment(s) equal to or exceeding the total amount due. You can also check the invoice's Balance Due field: if it is zero, the invoice is paid.
What payment methods can I record?
Common payment methods include cash, check, bank transfer, card, and others. Ask your administrator which payment methods are available in your system. The method you choose affects how the payment is posted to your bank/cash accounts.
Can I record a payment without a specific payment method?
Some systems require you to select a payment method; others allow you to leave it blank or use a generic option. Check your system's requirements or ask your administrator.
What if the customer pays late?
Late payments are still recorded the same way. However, you may want to send payment reminders or track overdue invoices separately. Use your system's aging reports to monitor overdue amounts.
