In Usystems, you have three main documents to record a sale. Each serves a different purpose and follows different accounting rules.
What is an invoice?
An invoice is a request for payment from a customer. You create it when you've delivered goods or services and expect the customer to pay you later (credit sale). The invoice lists what was sold, the amount owed, and payment terms.
When to use: Use an invoice when the customer receives the goods or services now but will pay you later.
What is a sales receipt?
A sales receipt records a sale that is paid immediately in full. The customer pays cash (or by card, mobile money, or another instant payment method) at the time of purchase. The receipt is proof of payment.
When to use: Use a sales receipt when the customer pays you right away—no waiting for payment.
What is a sales order?
A sales order is a commitment document. You create it to confirm what the customer wants to buy, but the goods or services have not yet been delivered. Once you deliver, you convert the sales order into an invoice (or receipt) to record the actual sale.
When to use: Use a sales order when a customer wants to reserve goods or confirm a purchase before delivery. It keeps you organized and helps with inventory planning.
How they work in Usystems
Each document type has its own page in Usystems:
- Go to Invoices Open in Usystems to create and manage invoices.
- Go to Sales Receipts Open in Usystems to record immediate cash sales.
- Go to Sales Orders Open in Usystems to set up orders before delivery.
Accounting impact
- Invoices create a receivable (money owed to you). The money is recorded in your Books only when you collect it.
- Sales receipts are immediate income. The sale is complete in one step.
- Sales orders do not create income yet—they are just a plan. You recognize income when you convert them to invoices or receipts.
Tips
- If unsure, ask yourself: Is the customer paying now or later? Now = receipt. Later = invoice.
- Do not mix: a customer cannot make the same purchase as both an invoice and a receipt.
- Sales orders are optional for simple sales, but invaluable if you take advance orders or have a long fulfillment cycle.
