FAQ: Creating Sales Orders
Quick answers to common questions about making new sales orders.
What happens if I save a sales order but then don't use it?
Nothing happens. A sales order that is not converted to an invoice remains in your system as an unpaid order. You can come back and convert it to an invoice at any time, or edit and reuse it. There is no automatic cleanup or penalty for leaving a sales order open.
Can I add a product that is not yet in the system?
No, all products and services must be created in Products & Services before you can add them to a sales order. However, this process is quick—you can create a product in a few seconds and then return to your order to add it.
Can I duplicate a previous sales order to save time?
The system does not have a built-in duplicate or copy feature for sales orders. However, you can view the previous order and manually re-enter the items, or ask your system administrator if there are any templates or shortcuts available.
What is the difference between a sales order and an invoice?
A sales order is a request from a customer—it confirms what they want to buy. An invoice is a bill—it asks for payment. You create a sales order first, and later convert it (or create a new invoice based on it) when you are ready to charge the customer.
Can I change the customer after I add lines?
No, the system typically does not allow you to change the customer after lines are added. If you need a different customer, you can delete all the lines, change the customer, and re-add the lines. Or start a new sales order.
Is there a limit to how many lines I can add?
There is no hard limit, but orders with hundreds of lines may be slow to save or edit. For very large orders, consider creating multiple sales orders.
What if I enter the wrong price on a line?
You can edit the price by clicking on the price field for that line. The total updates automatically. Save the order again after making changes.
Can I create a sales order for a customer in a different country?
Yes. After selecting the customer, you can change the currency to match their country. The system applies an exchange rate to convert the prices. See the article on multi-currency orders for details.
