Creating a production job from a sales order (make-to-order)

When you receive a sales order for items that must be manufactured, you convert that order into a production job. A production job tracks the materials used, labor, and steps needed to build the final product.

Before you start

• Your system must have the make-to-order (MTO) module enabled.
• The sales order must exist and have items that are configured as manufactured products.
• You must have permission to create production jobs.
• The ordered items must have a defined bill of materials (BOM) or recipe showing what components are needed.

Steps

1. Navigate to Sales Orders → View/Edit. Open in Usystems

2. Find and open the sales order you want to convert into a production job.

3. On the sales order details page, look for the Create Production Job or production-related action button.

4. Click the button to open the production job creation form.

5. Review the auto-filled details:

   • Order reference: The sales order number and customer name
   • Items to produce: The list of items from the sales order
   • Quantities: The quantities from the order

6. If needed, adjust the production quantities or add notes about the job.

7. Click Create Production Job or Save to generate the job.

8. The system creates the production job and assigns it a tracking number. You can now see it in your Production Jobs list.

Accounting impact

No accounting entries are created when you create a production job—only when you complete it and receive the finished goods into inventory. At that time, the system will record the cost of raw materials used and labor as the cost of the finished product.

Tips & common mistakes

• Not all items can be produced: Only items set up as manufactured or assembled products can have production jobs. Simple purchase items cannot.
• Check your BOM first: Make sure each manufactured item has a complete bill of materials before creating the job. Missing or incomplete BOMs will cause delays.
• Keep the sales order reference: The production job is linked to the sales order, so you can always trace finished goods back to the original customer order.
