Can I print a sales order that is still in draft status?
Yes. You can print a sales order at any status—draft, confirmed, partially delivered, or completed. Draft orders print normally but may include a "Draft" watermark or label to indicate they have not been finalized. Always preview the document before sending it to the customer.
Why does my printed sales order look different from what I see on the screen?
Print templates format the document differently than the on-screen view. The template adds branding, adjusts spacing, and reorganizes information for printing on paper. If the printed output looks wrong, check that the correct template is selected or ask your administrator to review the template settings.
Can I print only certain pages or line items from a large sales order?
Most systems do not support printing a subset of a sales order. The print function creates the full document with all line items. If you need to send a partial order to a customer (e.g., first 5 items only), consider creating a separate sales order with just those items.
How do I add my company logo to the printed sales order?
Logo placement is controlled by the print template. Navigate to Settings → Print Templates, select the sales order template, and look for a logo upload or image field. Your administrator can upload your logo there. The logo will then appear on all printed sales orders that use that template.
Can I print sales orders in color or only in black and white?
This depends on your printer and template. Most templates are designed to work in both color and black-and-white. If you want color printing, ensure your template uses colors and that your printer supports color. Many businesses print in black-and-white to save on ink costs.
What if I need a sales order with my company's specific terms and conditions?
You can add custom terms and conditions to the print template. Navigate to Settings → Print Templates, customize the sales order template, and add a section for terms and conditions. You can include legally required language, payment terms, return policies, or any other text you need on every order.
Can I email a sales order directly from the system?
Some systems allow you to email documents directly. However, truthfulness rules limit sending documents by email if not supported by the platform. If available, use the email option on the order details page. If not, save as PDF and attach it to an email manually.
Why is my sales order printing on multiple pages when I only expected one page?
Large sales orders with many line items, detailed descriptions, or additional notes naturally span multiple pages. This is normal. If you want shorter pages, ask your administrator to adjust the print template to use smaller fonts, reduce spacing, or condense the layout.
Can I print a sales order with the latest prices if I update them before printing?
Yes. The print function uses the current prices shown on the screen. If you update prices before printing, the printed document will reflect those updated prices. Make sure all changes are saved before clicking Print.
How do I save a sales order as a PDF instead of printing it?
When you click Print, most browsers offer a "Save as PDF" option. Choose this option and select where on your computer to save the file. The sales order will be exported as a PDF document that you can email, store, or share.
