Adding lines: products, services, quantities and units

Each sales receipt must have at least one line item to record what was sold. A line item specifies the product or service, the quantity, the unit of measurement, and the price. Usystems will look up the product's default unit price, but you can adjust it for a specific sale.

Before you start

• The products or services you want to sell must be entered in your system (see Products or Services to add them).
• You need to know the quantity and unit for each item (e.g., 5 pieces, 2 kg, 3 hours).
• Prices will default from the product list; have the sale price ready if it differs from the standard price.

Steps

1. On the sales receipt form, locate the Lines section.

2. Click Add line (or the equivalent add button) to insert a new line.

3. In the Product/Service field, type or search for the item you want to sell.

4. Select the product or service from the list.

5. Enter the Quantity — the number of units being sold.

6. Confirm or adjust the Unit (e.g., pieces, kg, hours). The default is usually set on the product.

7. Review the Unit Price. If this is the standard price, it will populate automatically. If you need a different price for this sale, clear the field and enter the new price.

8. The Line Total will calculate automatically (Quantity × Unit Price).

9. To add another item, click Add line again. Repeat steps 3–8 for each item.

10. Once all items are added, review the Receipt Total at the bottom. Continue with completing the receipt (accounts, warehouse, etc.).

Tips & common mistakes

• One line per item type. Each distinct product or service gets its own line. If you're selling 5 pieces of one item and 3 pieces of another, that's two lines.
• Adjust price if needed. The default unit price comes from the product master. You can change it for a single receipt without affecting the product's setup.
• Check the unit. If the product's default unit doesn't match what you're selling (e.g., you set it up in kg but are selling in pieces), change the unit on this line.
• Quantity must be positive. Entering zero or negative quantities will cause an error.
• Search by product name or code. If you have many products, search by partial name or product code to find quickly.
