Currency and conversion-rate problems
Diagnose incorrect currency display, exchange rates, or multi-currency receipt errors.
Receipts can include items or payments in multiple currencies, but only if exchange rates are configured and the accounts support each currency. Mismatches between the receipt currency and the customer or product setup cause errors or incorrect totals.
Symptom
You experience one or more of these issues:
- The receipt currency field is blank or shows the wrong currency.
- A customer's receivable account or payment method does not accept the receipt currency.
- Totals are calculated incorrectly when mixing currencies.
- An error message appears: "Exchange rate not found" or "No rate for [currency] to [currency]".
Likely causes (in order of probability)
1. Exchange rate is missing or outdated
- The system cannot convert between two currencies because no exchange rate is set up, or the rate is from the past.
- Fix: Go to Settings → Exchange Rates (or Currencies > Rates). Check if the currency pair you need is listed (e.g., USD to AFN). If missing, add it by entering the date, from-currency, to-currency, and the current rate. If the rate exists but is old, update it to today's date. Then return to the receipt and try again.
2. Customer account does not support the receipt currency
- The customer's receivable account is set up only for one currency (e.g., AFN), but the receipt is in another (e.g., USD).
- Fix: Go to Contacts → Customers and open the customer's record. Check the currency of their Receivable Account. If it does not match the receipt currency, either:
- Change the receipt currency to match the customer's account, or
- Create a new receivable account for the customer in the required currency, then select it on the receipt.
3. Payment method does not support the receipt currency
- The cash account linked to the payment method does not handle the receipt currency.
- Fix: Go to Settings → Payment Methods and verify the cash account assigned to the payment method supports the currency you are using. If not, either:
- Change the receipt currency to match the payment method, or
- Assign a different cash account that supports the required currency.
4. Default currency is not set
- The receipt defaults to no currency, or a different currency than expected.
- Fix: Go to Settings → Business Settings (or similar) and check the Default Currency setting. Set it to the currency you use most. Then create a new receipt and confirm it defaults to that currency.
5. Product/service pricing is in the wrong currency
- Items in the receipt are priced in one currency, but the system is trying to post them to an account in another currency.
- Fix: Open Products or Services, find the item, and verify its default currency matches the receipt. If not, update the product or select a different variant. For items sold in multiple currencies, consult your manager.
When to contact support
If exchange rates are set up, the customer and payment accounts are configured for the currency, and the error still appears, contact your system administrator or Usystems support with:
- A screenshot of the error message
- The currencies involved (from and to)
- The date of the receipt
- Confirmation that the required exchange rate has been set up
