Scanning a queue token to select the customer/patient

Use a barcode scanner to instantly populate the customer or patient field when creating a POS transaction.

What this does

When you scan a queue token (barcode) at the point of sale, the system automatically finds the customer or patient and pre-fills their name in the POS form. This speeds up checkout and eliminates manual lookup.

Before you start

  • A queue token must already exist in the system (generated when the patient/customer joined the queue)
  • The barcode scanner must be connected and working
  • For Pharmacy: requires the pharmacy queue to be active
  • For OPD: requires the clinic queue to be active
  • For Emergency Ward: requires the emergency queue to be active
  • The queue must have Global queue enabled in queue settings (if your organization uses this option)

Steps

  1. Open the POS page at POS → New Sale Open in Usystems

  2. With the POS form open and ready for a new transaction, position your cursor in the Customer or Patient field (depending on your product)

  3. Use your barcode scanner to scan the queue token's barcode

    • The scanner will read the token and send it to the system as text input
    • Do not press Enter or click elsewhere
  4. The system searches for the queue token and automatically fills the customer/patient name

    • If the token is found, the name appears immediately in the field
    • If not found, you can still type the name manually or select from the contact list
  5. Continue with the rest of the POS transaction (items, amounts, payment method)

Tips & common mistakes

  • Token not scanning? Ensure the barcode is clean and clearly printed. If the scanner beeps but nothing happens, the token may not exist in the system.
  • Wrong customer appears? Check that the queue token belongs to the intended patient. If you scanned the wrong token, clear the field and scan the correct one.
  • Scanner not working? Test the scanner with another barcode (like a product barcode). If it still doesn't work, check the scanner connection and settings.
  • Global queue caveat: If your queue is set to global mode, the same token is valid across multiple locations or departments. Ensure you're scanning the correct queue's token.
