Managing tables
A restaurant POS keeps track of which tables are occupied, which are waiting to order, and which are ready for payment. Managing your table layout in Usystems ensures smooth service flow and accurate billing.
Before you start
- Your restaurant is set up as a ref_product in Usystems.
- You have permission to view and modify table status.
- Tables are created in your configuration (ask your admin if you do not see your tables).
Steps
View your table layout

Go to POS → Tables or access the table view from the main POS screen. Open in Usystems

You will see a visual layout of your restaurant showing all tables with their current status:
- Green / Available: Table is empty and ready for guests.
- Blue / Occupied: Table has an open order and is currently in use.
- Yellow / Pending: Table has been served but is waiting for payment confirmation.
- Red / Closed: Table has been fully settled and is not in active use.
Seat a table

Click on an available (green) table in the layout.

A new order screen opens. Enter the number of guests.

Add items to the order (for example, "Kabuli Rice", "Daal", "Chai"). The items are added to the table's order.

The table status changes to Occupied (blue).
Move or merge tables

Some restaurants allow you to combine adjacent tables for a large party. Click on the first table, then select "Merge with table [X]" from the menu (if available).

Both tables' orders combine into a single bill.
Close a table

When guests are finished, the table shows as Pending (yellow).

Click the table and select Close Table or Complete Order.

Process payment (see: Taking and closing orders).

Once payment is complete, the table returns to Available (green).
Accounting impact
Each table order becomes a sales transaction linked to a point of sale register. The bill posts to your sales revenue account when the table is closed and payment is confirmed.
Tips & common mistakes
- If a table is stuck in the wrong status, check if the order has been fully paid or if there is an outstanding balance.
- Do not close a table until all payments and discounts have been finalized.
- Keep the table layout updated in your settings so the POS screen matches your physical restaurant.
- If you seat a table but need to cancel the order, ask your admin to help—cancelling a table's order affects the sales record.
