A barcode is a unique identifier (typically a string of numbers or alphanumeric characters) that represents a product. By assigning barcodes to your products, you can quickly look up and ring items at the point of sale, receive stock with a scanner, or count inventory faster.
Before you start
- You must have admin or inventory manager permissions to assign barcodes.
- Decide whether to use manufacturer barcodes (printed on the product packaging) or custom barcodes (created by you).
- Each barcode should be unique across your entire product catalog.
- You can assign multiple barcodes to the same product if needed (e.g., if a product is sold in different packs with different bar codes).
Steps
- Go to Products & Services → Products Open in Usystems.
- Search for or select the product you want to assign a barcode to.
- Open the product detail page and locate the Barcode field (or Barcodes section).
- Click Add barcode or + New barcode.
- Enter the barcode string (numbers or alphanumeric characters).
- If adding multiple barcodes to the product, repeat steps 4–5 for each one.
- Click Save or Update product.
- The barcode is now active and can be scanned at POS, receiving, or inventory screens.
Tips & common mistakes
- Scan barcodes to test — after entering a barcode, use your scanner to confirm it reads correctly at a POS or inventory screen.
- Avoid duplicate barcodes — if the same barcode is assigned to two products, the system may pick the first match, causing lookup errors. Use the duplicate barcode check if your system offers it.
- Update barcodes if products are consolidated — if you merge two product records, update or delete the old barcodes to avoid confusion.
- Barcodes can be numbers, letters, or both — use the format your manufacturer or barcode system provides.
