What 'aging' means for receivables and payables
What it is
Aging is a way of grouping outstanding invoices and bills by how long they have been unpaid. An aging report shows you "buckets" of outstanding money:
- Current: due today or in the next 30 days
- 30–60 days: unpaid for 1–2 months
- 60–90 days: unpaid for 2–3 months
- 90+ days: unpaid for more than 3 months (overdue)
The older an invoice becomes, the less likely you are to collect it. Aging reports help you spot problems early.
Why it matters
- Cash flow planning: You need to know how much money is coming in and when. An aging report shows you which customers owe you and how overdue they are.
- Collections: If a customer's balance is 90+ days old, it's time to follow up. Aging reports make this obvious.
- Business health: A lot of "90+ days" money suggests cash flow problems. Lenders and investors look at aging to assess risk.
- Vendor relationships: Aging reports also show you which bills are overdue so you can prioritize payments.
How it works in Usystems
When you generate an aging report, Usystems looks at every unpaid (or partially paid) invoice and bill. It calculates the number of days since the document's due date and groups them:

| Current | 0–30 | On track; not yet due or just due |
| 30–60 | 31–60 | Moderately overdue; follow-up may be needed |
| 60–90 | 61–90 | Seriously overdue; escalate collection |
| 90+ | 91+ | Critical; likely to be uncollectible |
The due date is calculated from the document date plus the payment terms (e.g., "Net 30" means payment is due 30 days after invoice date).
Example
- Invoice created: 1 Hamal 1400 (April 21)
- Payment terms: Net 30 (due 31 May)
- Today: 15 Asad 1400 (July 6)
- Days overdue: 5 days
- Aging bucket: 30–60 days (because it's been outstanding for more than a month)
Where you see it
- Reports → Receivables Aging: Shows unpaid customer invoices grouped by age. Open Aging Report
- Reports → Payables Aging: Shows unpaid vendor bills grouped by age. Open Aging Report
- Contact detail page: When you open a customer or vendor, a "Balance" or "Aging summary" section may show how much is outstanding and the oldest unpaid date.
- Dashboard or summary page: Many Usystems dashboards show a quick snapshot of receivables and payables aging.
Tips
- Act on 30+ days: Once an invoice is 30 days overdue, follow up with the customer. Most delays are due to oversights, not refusals.
- Payment terms matter: If you give "Net 60" terms, don't panic at 60 days old—it's not yet overdue. Focus on 60+ buckets.
- Write-offs: Very old balances (6+ months) may need to be written off as uncollectible. Consult with your accountant.
